Job summary

AIT Worldwide Logistics is seeking an Operations Agent Export to coordinate international air freight shipments from quotation through billing. You will ensure customer requirements are met, maintain schedule accuracy, and collaborate with customers, partners and internal teams to uphold safety and regulatory standards.

Ideal candidates have 2+ years as an Air Freight Forwarder (Export), strong English and Dutch, and solid PC skills.

Qualifications

• 2+ years of experience as Air Freight Forwarder (Export).
• Fluent English and Dutch.
• Able to work in a fast-paced, high-volume environment.
• Strong attention to detail and problem solving.
• Strong PC skills (Windows, MS Office).

Responsibilities

• Qualify shipping requirements with customers and gather necessary regulatory and documentation details.
• Prepare accurate, profitable quotations.
• Set shipping schedules and coordinate with customers, deliverers and ports.
• Coordinate day-to-day export of products, reviewing orders and documents.
• Track delays and issues, communicating with customers to resolve problems.
• Manage all aspects of air international operations including data entry and billing.
• Monitor shipments to ensure timely movement and update system on verification.
• Coordinate recovery/delivery schedules with cartage agents and partners.
• Inform and align with local sales teams on issues affecting customers and partners.
• Ensure adherence to SOPs, KPIs, and regulatory requirements.

Overview

As Operations Agent Export, you will coordinate and execute international air freight shipments end to end, ensuring customer requirements are met through accurate quotations, scheduling, documentation, tracking, and billing in line with SOPs, KPIs, and regulatory requirements. You will proactively manage shipment status and exceptions, collaborate with customers, partners, and internal teams, and ensure full compliance with safety, security, and Dangerous Goods regulations while contributing to a safe work environment.

Responsibilities

• Work with customers to qualify their shipping requirements and obtain all details (regulations, certificates, documentation) necessary for shipment quotation and operating to ensure the customer’s request is satisfied
• Prepare profitable quotations accurately
• Set shipping schedules and communicate with customers, deliverers, and ports to verify loading, departures, and arrivals in a timely manner
• Coordinate the day-to-day export of products, including reviewing orders and documents
• Track and communicate all delays, damages, problems and work to resolve customer issues.
• Responsible for all aspects of air international operations such as customer service, data entry of shipments, operations and billing
• Manage all aspects of tracking shipments to ensure shipment is moving as scheduled and update system immediately upon verification. Identify and rectify if a shipment has deviated from its schedule
• Coordinate recovery/delivery schedules with various cartage agents and international partners
• Partner with local sales teams to communicate problems to customers, international partners, and other stations, as needed
• Ensure all customers’ SOP instructions are adhered to and AIT KPIs and guidelines are followed and met
• Ensure all shipments are properly billed within company guidelines and timelines
• Process and comply with all requirements listed by regulatory agencies
• Network with corresponding departments to ensure files are billed and posted prior to end of month
• Execute all Dangerous Goods shipments in compliance with all applicable laws and regulations (as applicable)
• Contribute actively to a healthy and secure work environment by reporting unsafe/ unsecure/ unhealthy conditions and possible improvements

Qualifications

• min. 2 years of experience as a Air Freight Forwarder (Export)
• Utilizes established procedures but decides action within task
• Must be able to perform in a fast pace / high volume work environment
• Attention to detail
• Problem Solving
• Fluent oral and written English and Dutch is a must
• Strong PC skills (Windows, Microsoft Office applications) preferred
• Cargo Wise Software experience a plus
• ITAR, Dangerous Goods or TSA work experience / regulations
• VGB security clearance (or the ability to obtain it) is required for this position
