We’re looking for an Office Manager to join our team at DuckDB Labs. This is a hands‑on role where you’ll be the operational backbone of our Amsterdam office, ensuring everything runs smoothly while actively shaping our internal culture and processes as we scale.

Our mission

Born from the Database Architectures group at CWI in Amsterdam, DuckDB was released in 2019 by researchers Hannes Mühleisen and Mark Raasveldt to revolutionize in‑process analytics. Since spinning out as DuckDB Labs in 2021, the project has exploded in popularity, amassing millions of monthly downloads and over 35,000 GitHub stars. Crucially, DuckDB Labs remains fully independent and profitable. Today, we define the standard for local analytics, empowering data practitioners to process massive datasets on everything from laptops to edge devices with zero friction.

At DuckDB Labs, we are solving a day‑to‑day engineering problem: processing data should be fast, frictionless, and portable. Whether it is a massive dataset on a high‑powered server, an analytical workload on a laptop, or an IoT application on a Raspberry Pi, DuckDB runs anywhere.

Our team

We are a small, close‑knit team of (mainly) database experts based in Amsterdam Science Park. We are techies who care deeply about what we build and have a very flat organisational structure. There’s no bureaucracy, no layers of approval, no corporate politics – just passionate people solving problems together.

This means that you can have real impact at DuckDB. When you improve a process, organize an event, or make someone’s onboarding experience better, it has real impact. You’re not a cog in a machine – you’re building the operational foundation of something special.

We’re also genuinely unique in the startup world: we’re profitable and financially healthy. We don’t rely on burning VC cash to survive, which means we can focus on building sustainably and taking care of our team properly.

Your Role

This is the only non‑coding role in our company besides Bram (Head of Business Operations). You’ll be the operational glue that keeps DuckDB Labs running smoothly, working directly with Bram and the Founders to manage everything from office operations to HR processes to company‑wide events.

In this role you will have a lot of freedom and see that we are still a relatively young company that is growing, the opportunity to reset processes, improve systems, and grow with us as we scale.

You will:
  • Own Office Management. Keep our Amsterdam Science Park office running like clockwork – from stocking the kitchen to coordinating office improvements. This is hands‑on work that requires you to be present in the office.
  • Drive HR Operations. Manage the employee lifecycle from onboarding to off‑boarding. Handle sick leave administration, coordinate with payroll providers, and ensure our team has what they need. This is our fastest‑growing area as we expand.
  • Maintain Company Cadence. Own the company calendar – from recurring team meetings to board meetings across different entities. You’ll ensure nothing falls through the cracks.
  • Support Finance Operations. We’re currently restructuring our finance processes with an interim controller. Your involvement in finance tasks (like expense management) will be determined based on their recommendations and your expertise and interests.
  • Shape Our Culture. Bring ideas that make work more fun and keep our team connected as we grow. Organise internal events – from casual Friday drinks to larger team gatherings. We want you to be the driver behind this and you’ll get a lot of freedom to use your creativity.
  • Light Executive Support. Provide calendar coordination, travel booking, and meeting notes for our founders when needed. This isn’t the core of the role, but it’s part of keeping leadership effective.
  • Improve Processes. You won’t just execute tasks – you’ll identify what’s broken and fix it. See a manual process that could be automated? Implement better software. Notice recurring questions? Update the documentation.
What will make me successful in this role:
  • Operationally sharp. You can juggle multiple recurring tasks, know what needs attention when, and nothing slips through the cracks. You have a system (or you’ll build one).
  • You can work independently. You’ll be working closely with Bram who can support you with any topic, but you need to own your domain. You don’t need constant direction – you see what needs doing and you do it.
  • Proactive, not passive. You don’t wait for processes to be handed to you – you see what’s broken and you fix it. You’re the type who says “let me organise that differently” rather than “that’s how we’ve always done it.”
  • You’re transparent about what you know and don’t know. We’d rather work with someone who says “I haven’t done payroll coordination before, but I’ll learn it” than someone who pretends to know everything.
  • You feel comfortable in a technical environment. You need to be comfortable being one of the few non‑technical people in the room.
  • You have the right ambition. This role is heavily operational today, but there’s room to grow toward HR, culture‑building, or another direction if that’s where your drive takes you. The key is that you enjoy the work in front of you now while having the vision to shape what comes next as we grow.
  • You’re a nice and warm person. Our team is made up of genuinely kind people, and we want to keep it that way. You bring positive energy to the office and make people feel welcome and supported.
  • Fluent in Dutch and English. We are an international company where English is the working language, but it’s a must that you are fluent in Dutch for this role.
