Job description

We are seeking an experienced Office Site Administrator/Coordinator to deliver a comprehensive range of administrative and coordination support to a dynamic operational site in the Netherlands.

This position, based in Groningen, will act as the central point of contact for meeting arrangements, team assistance, and general administrative duties. The successful candidate will be a professional and discreet administrator who operates with integrity at all times.

Key Responsibilities
  • Oversee the daily operations of the site office.
  • Provide general administrative support as required by the Site or Contracts Manager, including preparing and circulating meeting notes and action lists.
  • Manage document control processes — preparing packages, compiling documents for the Site Team, and supporting subcontractors with related queries.
  • Coordinate with the Procurement team as needed.
  • Monitor and manage discrepancies and costs.
  • Produce and deliver weekly and monthly reports and data for site teams, stakeholders, and partners.
  • Represent the company professionally in all external communications and stakeholder interactions.
  • Carry out additional administrative duties as required by the business.
  • Manage all incoming and outgoing correspondence proactively.
  • Organise meetings, prepare materials, and ensure working group members remain aligned on actions.
  • Undertake ad hoc administrative assignments as requested.
  • Keep accurate logs of messages, activities, and follow-up actions for regular review.
  • Take full responsibility for diary management and coordination with internal and external parties.
  • Arrange meeting rooms and ensure appropriate setup and materials are in place.
Experience & Skills
  • Excellent interpersonal and organisational abilities.
  • Demonstrates a flexible and adaptable working style.
  • Proven experience in proactive diary and schedule management.
  • Proficient in the Microsoft Office suite (Word, Excel, PowerPoint, Adobe, etc.).
  • Able to handle confidential information with absolute discretion.
  • Skilled in managing and prioritising multiple projects or activities simultaneously.
  • Familiar with the effective use of social media platforms.
Qualifications
  • Extensive experience within the Construction industry.
  • ECDL, Pitman, or equivalent certification.
  • Qualification in Business Administration or a related discipline.
  • Strong interest in applying technology to enhance administrative efficiency.
