Job description

Responsible for filling, testing, assembly and delivery of project clinical site video capture kits, tools and laboratory supplies. The return, decommissioning and/or destruction of all or part of used kits at project completion in a manner that meets company and regulatory standards for accuracy, safety, security, quality, and productivity. Coordinating and overseeing the transportation of biological samples from sites to central labs. Production of investigational site binders and printed materials. Monitoring and replenishment of laboratory supplies inventory. Obtain and maintain site shipping instructions, and as part of the quality assurance process ensure orders are complete, in working order, packed correctly with accurate shipping and regulatory documents, and that decommissioned kits include all required parts, and contents are reused, destroyed, or recycled appropriately.


Video Capture Assembly, Order Fulfilment and Tracking
  • Assemble kits and associated tools, load software and test hardware/software for proper operation and image transmission in accordance with SOP's, work instructions and protocols.
  • Perform routine troubleshooting in accordance with standard work instructions.
  • Prepare/monitor delivery of orders, ensure all inventory items on pick order list are in stock and components have been placed in the proper packing order with all required hardware, software, work instructions and shipping documents.
  • Ensure completed video capture kits and tools are placed on shipping pallets and/or shipped with proper documentation in accordance with protocols and regulatory requirements. When required, follow up and resolve delivery issues.
  • Where necessary identify and clearly mark kits that are faulty, damaged, do not meet pick order instructions, or quality standards and report issues to supervisor for further troubleshooting.
  • Assist with the user setup and maintenance in logistics related systems as required.
Clinical Services Supply Assembly, Order Fulfilment and Tracking
  • Prepare/monitor delivery of orders, ensure all inventory items on pick order list are in stock and components have been placed in proper packing order with the required shipping documentation.
  • Provide sites with shipping documentation to send shipments containing biological samples to laboratories.
  • Complete, or provide guidance on regulatory requirements for shipments
  • Monitor shipments in transit noting instances when temperatures fall out of range when required.
  • Identify supplies that are expired, damaged, do not meet pick order instructions, or quality standards and report issues to supervisor for further troubleshooting.
Inventory Control and Documentation
  • Maintain and monitor inventory, ensure adequate stock on hand, initiate orders as required and perform regular inventory checks, reporting any issues to supervisor for follow up.
  • Perform periodic quality control checks on assembled kits (new and returned) for internal customers for display, demonstration or testing ensuring kits are packed correctly, include all items on pick list and are in working order.
  • Obtain written site-specific shipping addresses/instructions from project teams and/or designated shippers.
  • Create and maintain shipping instructions, ensuring items shipped include a detailed item list, customer and return shipping contact/address, account detail, all preidentified shipping instructions {foreign and domestic), regulatory documents, purchase orders and list of all associated costs (taxes, insurance) that adhere to project and regulatory requirements.
Product Returns
  • Prepare/monitor the return shipment of hardware, with proper documentation in accordance with protocols and regulatory requirements.
  • When required, follow up and resolve repatriation issues.
  • Where necessary identify and clearly mark kits that are faulty, or damaged, and triage to the appropriate departments for assessment.
  • Complete regular kit decommissioning activities which may include the reuse, recycling, or destruction of the product and/or components in accordance with project SOP, protocols and regulatory requirements.
  • Complete status reports as required.
Facilities and Staff Support
  • Distribute mail to appropriate departments, or internal mailboxes. If required, communicate directly with recipient to requestfurther direction for delivery.
  • Shipping and monitoring internal shipments and requests (eg employee equipment, promotional materials and gifts regulatoryand financial documents, etc).
  • Sign vendors into and out of the building as required.
  • Create and distribute access cards for new employees.
  • Other facilities related tasks as required.
Qualifications
  • 1-3 years of related experience and a post-secondary certificate or diploma is preferred (diploma in Logistics and Supply chain Management or experience with using an ERP for shipping/receiving is an asset).
  • Fluent in the reading, writing, and speaking of English is a must
  • Ability to speak Dutch is considered an asset.
  • Ability to be in the Amsterdam office on a full-time basis as this is a fully in office role.
