Are you a detail-oriented, proactive multitasker who excels at supporting commercial operations and customer service in a fast-paced international environment? We are looking for a Customer Service Management (CSM) Assistant to provide vital support in invoicing, client communication and operational coordination.

Responsibilities

As a CSM Assistant, you will be the backbone of our customer service and commercial team, ensuring smooth daily operations and accurate invoicing processes. Your responsibilities include:

  • Entering and verifying flight data related to final meal orders and various customer requirements.
  • Checking data input to ensure the accuracy of billing and invoices.
  • Identifying and resolving discrepancies or missing data promptly.
  • Reconciling delivery notes with data recorded in the system.
  • Managing periodic invoicing cycles (every 10 days), including verification and finalization.
  • Cross-checking invoices daily between customer portals and our ERP system.
  • Preparing customer-specific invoices using Excel templates.
  • Creating additional invoices such as month-end supplier and internal billing.
  • Collaborating with different departments to coordinate customer orders and resolve issues.
  • Assisting the commercial department with customer visits, audits, and daily operational tasks.
  • Supporting client portfolio management and KPI tracking.
  • Performing any additional duties assigned by your manager.
What You Bring To The Company
  • Previous experience in invoicing, customer service, or commercial support roles.
  • Excellent Excel skills and experience with ERP systems.
  • Strong numerical and analytical abilities with high attention to detail.
  • Ability to work independently, prioritize tasks, and maintain accuracy under pressure.
  • Commercially aware mindset with flexibility and adaptability.
  • Outstanding communication skills and a team-oriented approach.
  • Fluency in English (spoken and written); Dutch and French are a plus.
