Overview

As Client Documentation Specialist you play a key role in safeguarding the quality and clarity of all client-impacting documentation within LYNX. As part of the Client Governance & Control team, you are responsible for drafting, maintaining, and continuously improving all policies and agreements that directly influence our clients and the Client Service department. Your focus is not only correctness, but also clarity: policies and agreements must be understandable, practical, and aligned with how we serve clients in practice. In addition, you support the Team Lead Client Governance & Control with administrative coordination and act as a corporate secretary within the team, helping maintain structure, oversight, and follow-up. You also ensure estate cases are handled with professionalism, empathy, and efficiency.

What you’ll do
  • Policy Ownership: Draft, review, and continuously improve all client-impacting policies to ensure clarity, consistency, and client-centric language.
  • Documentation Translation: Translate complex internal processes into structured and understandable documentation for both clients and service teams.
  • Agreement Management: Develop and update client agreements, general terms and conditions, and related annexes in close cooperation with stakeholders.
  • Documentation Governance: Ensure clear version control, structured documentation management, and smooth approval processes within the Client Governance & Control framework.
  • Stakeholder Alignment: Act as a bridge between Client Services and supporting departments to ensure policies are practical and enhance the client experience.
  • Corporate Secretary Support: Support the Team Lead with meeting preparation, documentation, action tracking, and general administrative coordination.
  • Documentation Oversight: Maintain a structured overview of all client-related documentation and ensure timely reviews and updates.
  • Estate Case Handling: Process estate cases of deceased clients accurately and empathetically, coordinating documentation, communication with heirs, and internal follow-up.
Who you are

You are a structured and detail-oriented professional with strong writing skills and a passion for translating complexity into clarity. You understand that high-quality documentation is essential for both compliance and client experience.

  • You have a Bachelor’s or Master’s degree in Business Administration, Finance, Communication, or a related field
  • You have 1–3 years of experience in policy writing, documentation management, governance support, or a similar role within financial services
  • You have strong writing and editing skills, with the ability to make complex topics clear and accessible
  • You work in a highly structured, organized, and detail-oriented way
  • You have strong stakeholder management skills and collaborate effectively across departments
  • You are professional, discrete, and service-oriented in your approach
Nice to have
  • Experience within a brokerage, investment firm, or other client-focused financial institution
  • Familiarity with client lifecycle processes (Product Governance, KYC, lifecycle events, tax documentation, Best Execution)
  • Experience handling estate or succession cases in a financial services environment
  • Experience supporting management or team leadership in a governance or coordination role
