Administrative Assistant (Medical & Health Services)

Key Responsibilities:

  1. Provide overall sales administrative support to ensure the smooth and effective functioning of the department.
  2. Handle incoming enquiries, prepare and follow up on sales quotations confirmation status and invoicing.
  3. Manage phone calls, schedule meetings, and coordinate communications efficiently.
  4. Prepare quotations and invoices accurately and on time.
  5. Oversee operational requirements, including scheduling and coordinating administrative projects.
  6. Ensure an interface between the customer and the other MHS personnel.
  7. Maintain a systematic filing system and ensure proper record-keeping.
  8. Perform any other administrative tasks as assigned by the reporting manager.

Key Requirements:

  1. Degree or Diploma in any relevant field with at least 1 year of work experience in admin coordination and/or operations support.
  2. IT literacy with good skills in using MS Word, PowerPoint, and Excel.
  3. Well organized and able to multi-task in a fast-paced environment.
  4. Tactful and service-oriented individual who possesses initiative and strong planning skills in managing schedules and delivering deadlines.
  5. Meticulous, efficient, resourceful, with good interpersonal skills and a "can-do" attitude.
