WAREHOUSE OPERATIONS ASSISTANT – CARGO VILLAGE, FTZ, KLIA
The Warehouse Operations Assistant is responsible for a combination of warehouse operations, delivery driving, Customs documentation handling, and runner duties. This role plays a critical part in ensuring smooth import/export processes, including submitting declaration papers, coordinating Customs inspections, and managing seal and break-seal activities. The candidate must ensure that all logistics activities are executed accurately, safely, and in full compliance with Customs regulations and company procedures. The role also involves close collaboration with internal departments, external agents, and warehouse partners to support seamless supply chain operations. This position plays a vital role in ensuring shipment accuracy, timely delivery, and adherence to company SOPs and performance standards.
Key Responsibilities
- Shipment Monitoring & Execution
- Monitor day-to-day inbound and outbound shipments;
- Ensure timely customs clearance and delivery;
- Perform close monitoring of cargo arrival schedules;
- Check and update actual arrival times with agents and airlines;
- Address and escalate any shipment or delivery delays;
- Share accurate and timely arrival updates with the Customer Service (CS) team;
- Share accurate and timely delivery status updates with the Customer Service (CS) team.
- Daily Operations
- Manage daily tasks based on shipment priorities;
- Manage work allocation and workload balance;
- Ensure timely and accurate submission of documents to relevant authorities;
- Track and report the completion of assigned tasks on a daily basis to the Warehouse Operations Supervisor;
- Organize shipment documentation shared by the CS team;
- Print and prepare all shipping and supporting documents (e.g., NOTs, licenses, permits) in advance of shipment arrivals at KLIA or designated entry points;
- Ensure all documents are accurate and complete and compliant with Customs requirements.
- Delivery Duties
- Operate a 5-tonne truck or company van as required to support delivery, collection, or relocation of goods and materials;
- Ensure the safe loading, unloading, and transportation of items in compliance with company procedures and safety regulations;
- Perform timely and accurate deliveries of goods to customers, ports, or assigned locations;
- Verify delivery documentation and obtain proper acknowledgments;
- Conduct basic checks to ensure vehicle roadworthiness and cleanliness;
- Submit and retrieve Customs declaration documents at port authorities, government offices, or Customs checkpoints, dispatching documents and supporting inter departmental errands when necessary;
- Ensure timely and accurate documentation to facilitate clearance;
- Liaise with Customs officers, forwarding agents, and logistics providers regarding shipment status and compliance;
- Maintain clear records of all documents and transactions;
- Secure Customs seals for containers/trucks as required;
- Ensure all seal-handling procedures are followed per Customs requirements;
- Log seal numbers and report discrepancies immediately.
- Customs Inspection Coordination
- Schedule and coordinate Customs physical inspections when required;
- Prepare necessary documentation for inspections and accompany Customs officers on-site;
- Ensure inspection findings are communicated internally, and follow-up actions are completed.
- External and Internal Coordination
- Coordinate with external teams and clients;
- Ensure clear and professional communication on all operational matters;
- Coordinate documentation, shipment details, and handovers efficiently;
- Provide timely updates once shipments are cleared from terminals or received at terminals, destinations, or client’s warehouses;
- Support smooth end-to-end shipment flow and resolve issues as needed;
- Coordinate closely with internal teams (e.g. CS, Operations, Admin);
- Ensure clear communication and handover of documentation/tasks to support smooth end-to-end shipment flow.
- Warehouse Operations (MJET Site)
- Receive, pick, pack, and dispatch goods in a timely and orderly manner;
- Operate warehouse equipment (e.g., forklifts, pallet jacks) when required;
- In the event of discrepancies or damage:
- Raise IR (Incident Report) for any damage, short-receipt, or discrepancies;
- Coordinate survey reports for damaged goods.
- Verify the quantity of tax stamps received from authorities upon collection;
- Ensure all tax stamps are correctly affixed to the respective bottles;
- Immediately report any discrepancies, including excess or shortage of tax stamps;
- If labeling cannot be completed on the same day, ensure tax stamps are securely stored;
- Escalate any irregularities to the Warehouse Operations Supervisor and Warehouse Manager promptly.
- Overtime, Claims, Permit and Pass Management
- Accurately record overtime hours and submit them in a timely manner to the Warehouse Operations Supervisor for approval;
- Track and update mileage claims; ensure timely submission for reimbursement;
- Ensure proper and responsible usage of company-issued Touch ‘n Go (TNG) cards;
- Report any irregularities, misuse, or loss of cards immediately;
- Record and submit Petty Cash usage details to the Warehouse Operations Supervisor promptly;
- Submit applications for daily passes and vehicle permits when required;
- Monitor and keep a good record of truck maintenance;
- Maintain service records for all company trucks;
- Schedule regular servicing and preventive maintenance;
- Ensure compliance with safety standards and minimize downtime;
- Maintain accurate logs of truck usage and fuel consumption;
- Submit mileage and diesel records to the Warehouse Operations Supervisor in a timely manner.
- Procurement & Supplies
- Prepare and submit Lampiran 5 to Kompleks Kastam KLIA Cargo, Bahagian Pengurusan Kargo as required for approvals.
- Additional Duties
- Assist with any ad-hoc duties as assigned by the superior to support smooth operations and team needs.
- Working Conditions
- Involving warehouse work, driving duties, and visits to Customs or port facilities;
- Physically demanding role requiring lifting, walking, and standing for extended periods;
- May involve working in varying weather conditions and occasional after-hours or weekend duties;
- Exposure to port and border control environments.
JOB REQUIREMENTS
- High school diploma or equivalent; education in Logistics, Supply Chain Management, or a related field is preferred;
- 1–2 years of hands-on experience in logistics, freight forwarding, or Customs operations is an advantage;
- Basic understanding of warehouse operations, logistics services, delivery processes, including air and sea freight and Customs clearance procedures;
- Possession of own transport and a valid driver’s license with a clean driving record; GDL license is preferred;
- Willing and able to travel to branch locations, warehouses, and customer sites as needed;
- Basic proficiency in computer applications such as Microsoft Office (Word, Excel, Outlook) Strong interpersonal and communication skills for effective collaboration across teams and with external parties Skills & Competencies;
- Strong coordination and organizational skills to support cross-functional operations;
- Attention to detail and accuracy in documentation, inventory records;
- Effective communicator with a proactive, team-oriented mindset;
- Ability to manage multiple priorities, meet tight deadlines, and respond to operational challenges;
- Basic understanding of logistics processes, Customs procedures, warehouse operations, and transport management;
- This position will be based at FTZ, KLIA.
