To ensure the efficient operations of the warehouse through effectively managing warehouse staff, resources, legislative compliance, financial performance and customer service requirements of the department.

Key Accountabilities:

  1. To complete duties relating to warehousing and distribution as required by customers.
  2. To use the Warehouse Management and Inventory System to complete reconciliations between these systems and physical stock movements for all customers.
  3. Continuous process improvement of warehouse management systems.
  4. To ensure that all data entry relating to the movement of stock is completed accurately and on time for all customers.
  5. Adopting responsibility for the warehouse on-time billing, profitability and supporting management in business growth.
  6. Review and monitor budget against budget P&L on a monthly basis, create action plan in case of deviation.
  7. To ensure that all documentation is filed as per operational and company requirements for all customers.
  8. To ensure that all company equipment is handled and driven in a responsible manner at all times.
  9. Supervising the warehouse team and manage the day to day operation of the warehouse.
  10. Monitoring and measure staff performance.
  11. To ensure correct supervision is in place for any trainee fork lift operators.
  12. To ensure that staffs allocated to specified customer are undertaking their tasks in a safe manner at all times.
  13. To liaise with all contract managers and supervisors as required developing positive working relationships to ensure compliance and to limit unnecessary delays due to inadequate processes and non-compliance issues.
  14. To assess workloads within the allocated team and allocate resources adequately on a day to day basis.
  15. To consult with the next level Manager if pre-allocated resources are not sufficient on any given day.
  16. To assist in establishing key performance indicators and to ensure these are met at all times.
  17. To ensure that customer service and quality targets are met and/or exceeded for specified customer.
  18. To ensure all SOP’s for specific customers and generic SOP’s are updated and easily accessible by all staff.
  19. Ensure all staff are trained according to SOP’s to ensure smooth Implementation of projects of new customers and/or new business for existing customers avoiding interference to existing business + with the implementations on time and within budget.
  20. Optimize and re-engineer existing business.
  21. Streamline operational flows, and resources for all CL customers.
  22. To ensure transferability of knowledge to other implementation projects.
  23. To complete all relevant reporting activities to local and national CL management as required.
  24. To ensure ongoing and consistent customer satisfaction through effective + efficient responses to customer enquiries, issues, problems.
  25. To establish and maintain long term sustainable partnerships with specified customers and service providers.
  26. To discuss and communicate customer feedback.
  27. To provide support to the Sales team through the provision of advice and resources in order to achieve future business opportunities and marketing strategies.
  28. To ensure that you represent the company in a professional and consultative manner at all times.
  29. To liaise with network offices in regard to services related issues such as charges rates etc.
  30. To observe all company quality requirements at all times.
  31. Accountability for compliance with legislative requirements of the facility including but not limited to:
  32. Chain of Responsibility.
  33. Workplace Health and Safety.
  34. Maintaining and improving safety in the warehouse, including, but not limited to:
  35. Maintaining and updating safe work procedures.
  36. Maintaining compliance with HACCP (food safety program) standards as applicable.
  37. Valid Staff Certification and Qualifications, including ongoing review in line with business needs and legislation.
  38. Liaise with Australian Border Force and the Department of Agriculture & Water Resources in varying circumstances including:
  39. Changes to the Approved Arrangement or Depot.
  40. CTO Lodgement and Retrieval.
  41. FAK import/export – transport and loading/unloading.

WH&S

  1. Responsibility to ensure that systems are communicated to the various workplaces and that the relevant Managers/Supervisors under them are managing the systems as required.
  2. Requires that there is a clear understanding of management responsibility in regard to workplace WHS (as outlined in the Act) and that all workers under them are fully aware of their obligations.
  3. Requires that monitoring is undertaken to ensure the workplace is safe from injury or illness and that reporting of performance is back to the MD as required. Not the least of this reporting is the planning for training and the updating of the training plan.
  4. Responsible for ensuring a clear two-way flow of communication exists in relation to WHS and welfare to and from the workplace.
  5. Responsibility for undertaking performance appraisals of staff directly reporting to him/her.
  6. Means to initiate formal warnings where WHS breaches occur as a result of employee/management noncompliance to WHS requirements.
  7. Duty of care to ensure processes put in place by the company are in fact being implemented in the workplace. Where they have a difficulty due to resistance of workers, or any other factor, they must report this to the MD for action and resolution.
  8. Take all appropriate steps necessary to ensure site compliance.
  9. Responsible for managing the selection and pre-qualification of contractors.
  10. Must act upon any hazards identified in the workplace, or any risks/concerns communicated from an employee. A risk management process should be initiated.
  11. Has the authority to cease any work process where an employee may be at risk for an unsafe activity.
  12. Reporting workplace WHS performance to the MD on request.
  13. Monitor the performance of contractors, providing induction, and reporting on performance as required.
  14. Initiating workplace WHS inspections/audits to monitor WHS on site.
  15. Records of all such activities will be kept by this Site Manager or delegated as appropriate.
  16. Responsibility for in-house training and induction as delegated by the Training Plan, and must assess competency standards of their workforce.
  17. Must be aware of the regulations requiring record keeping of incidents/accidents, injury and claims management and in particular the confidentiality and security requirements.
  18. Oversees effective management of WHS and IM and ensures effective communication between management, workers and Insure.
  19. Identify any weaknesses, risks or anomalies in the WHS system and should do so when a risk is identified.
  20. Work undertaken must be signed off and records kept.
  21. Where equipment, plant or other items are deemed unfit for purpose, the site manager has a duty of care to tag these items accordingly and render them out of service.
  22. Duty of care to render plant/equipment obsolete/unable to be safely repaired as and when required.
  23. Report any unsafe work practices to their FC / MD. Including any practices, maintenance equipment or tools of trade used by contractors or employees to perform their tasks.
  24. Requires some research in sourcing safe products, equipment and plant in relation to the workplace activities.
  25. Ensure that the people you supervise understand their responsibilities under the Chain of Responsibility policy.
  26. Take opportunities to discuss the policy and reinforce the importance of safety and compliance.
  27. Create an environment where employees and contractors feel comfortable raising concerns.
  28. At no time encourage or direct employees or contractors to achieve business results at the expense of ethical conduct or compliance with any policy or law.

Required Experience and Knowledge:

  1. Minimum 5 years’ experience managing personnel essential;
  2. Previous experience in a coordination role essential;
  3. General knowledge of the freight forwarding industry and operation of a Customs bonded facility.
  4. Previous experience in a senior role such as Leading Hand or Team Leader (or above).
  5. Several years of Contract Logistics Operations and/or Client management experience.
  6. High level in standard business office software for analysis and presentation purposes.
  7. Good knowledge and understanding of Logistics processes and goods flows.
  8. Contract Logistics costs and calculation awareness.
  9. Knowledge of Finance / Controlling in order to ensure good follow up of project budget.
  10. In depth understanding of customs 77G depot operations and ability to maintain compliance of customs requirements.
  11. In depth understanding of quarantine approved arrangement operations and ability to maintain compliance of a class 1.3 facility.
  12. Knowledge of aviation security and the requirements of an Air Cargo Agent.
  13. Understanding of the loader/ unloader’s responsibilities in the Chain of Responsibility for road transport.
  14. High level coordination and organisational skills;
  15. Proven ability to think independently and handle multiple projects through to completion.
  16. High level problem solving skills;
  17. Able to make effective presentations to diverse groups.
  18. IT literate and able to leverage software and hardware platforms to advantage;
  19. Participate in personnel and personal development at all levels through talent acquisition, performance management, providing opportunity for high performers, education, communication and expectation setting.
  20. Concept development / understanding based on customer requirements.
  21. Good understanding of IT solutions.
  22. Good leadership skills.
