Job description

Job Summary

The Warehouse Executive is responsible for supporting daily warehouse activities through operational tracking, administrative reporting, and process coordination. This role ensures accurate monitoring of consumables, operational outputs, invoices, budgets, and KPI performance. The executive also assists in staff onboarding, documentation preparation, vendor sourcing, and warehouse inspections, contributing to the overall efficiency, compliance, and organisation of the warehouse operations.

Working Day: 5.5-days work week

Key Responsibilities

  • Track warehouse consumables and ensure adequate stock levels are maintained.
  • Conduct daily housekeeping inspections and compile weekly reports on staff attendance and operational outputs.
  • Maintain monthly records related to staff attendance, diesel usage, forklift and warehouse maintenance, and other warehouse operations matters.
  • Manage and process monthly invoices and track Proof of Delivery (POD) documentation.
  • Support staff induction activities, prepare slide presentations, take meeting minutes, and assist in vendor sourcing.
  • Coordinate and follow up on sales and buyer orders with the warehouse operations team to ensure timely processing and delivery.
  • Track and monitor operational budgets, comparing actual expenditures against planned budgets, and flag variances for management review.
  • Maintain and update warehouse KPI trackers regularly, ensuring accurate reporting on key operational performance indicators.

Qualifications & Requirements

  • Diploma in Logistics, Supply Chain, Business Administration, or a related field.
  • Min 3 years’ experience in warehouse operations, administration, or logistics coordination.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Excel, Word, and PowerPoint.
  • Good communication and interpersonal skills.
  • Proactive, independent, and able to work in a fast-paced warehouse environment.
  • Basic knowledge of warehouse safety practices is an advantage.
