A leading company in the financial services sector is seeking a Trust Administrator to manage trust assets, ensure regulatory compliance, and assist clients. The ideal candidate will hold a degree in law or possess corporate administration experience, with strong attention to detail and communication skills. Ensure client acceptance process is properly adhered to, including but not limited to understanding and documenting source of wealth and purpose of setting up trusts, collating all KYC documents and information in accordance with TCA No 3, and preparing all trust documentation following checklists and/or operations manual.
Ensure proper administration of trusts and trust assets, escalating issues to senior management when necessary.
Assist in carrying out fiduciary duties of trustees in accordance with relevant trust laws and documentation.
Maintain proper record-keeping, both physical and digital.
Gather and understand client information, including financial and non-financial data.
Conduct ongoing monitoring of transactions and review investment performance of managers.
Clarify and confirm application of guidelines, procedures, rules, regulations, and codes impacting daily work practices.
Perform work in compliance with applicable regulations and codes in the private trust industry.
Escalate red flags, inconsistencies, and irregularities to senior management.
Undertake timely and accurate risk reviews of trust files.
Ensure completion of all checklists accurately and promptly.
Handle issues and administration tasks for a portfolio with complex client structures efficiently, ensuring high service standards.
Provide trust and company administration services, including client contact, in a professional manner aligned with regulatory requirements, service levels, and company standards.
Manage an allocated caseload of medium to high-risk clients independently with limited support.
Assist in completing client requests/documentation accurately and timely, improving data completeness as needed.
Help establish policies, procedures, work processes, manuals, and precedents for trust administration in the KL office.
Assist with trust license applications in Malaysia if required.
Draft and prepare documentation for trust onboarding, administration, exit, and corporate structures of underlying companies.
Attend training sessions as required.
Liaise with Relationship Managers, Trust Managers, clients, and colleagues across offices on trust matters, providing assistance as needed.
Support Trust Managers with administrative tasks such as billing and document filing.
Perform other tasks as assigned.
Job Requirements
Degree in law or legal studies or experience in corporate administration within the financial services industry.
Interest in trust administration and seeking a friendly work environment.
Experience with trusts and offshore entities (e.g., BVI, Cook Islands, Samoa) is preferred.
Familiarity with regulatory compliance matters like FATCA/CRS and Economic Substance is advantageous.
Attention to detail, multi-tasking ability, and accuracy under deadlines.
Proactive, independent, and team-oriented work approach.
Excellent planning, problem-solving, interpersonal, and communication skills.
Ability to work independently with minimal supervision.
Strong command of English.
Proficiency in Microsoft Office (Word, Excel, PowerPoint).
Diploma and familiarity with AML/CTF policies are additional advantages.
