A leading Event Management and Corporate Travel Services Agency is seeking a dynamic Travel Coordinator. The ideal candidate will have a diploma or degree in a related field and at least 2 years of experience in travel coordination. Responsibilities include managing travel arrangements, liaising with vendors, and providing logistical support for events. This role requires strong communication skills, problem-solving abilities, and proficiency in Microsoft Office.

Job description

Coordinate travel arrangements for guests, delegates, speakers, and staff including flights, ground transport, and accommodation based on event schedules.

Manage visa requirements by preparing invitation letters and supporting documentation for international attendees.

Set up and operate a Travel Desk (on-site or virtual) to provide real-time assistance for flight confirmations, local transport, and urgent travel matters.

Support VIP guests with personalised logistics, such as dedicated airport transfers or concierge-level service.

Liaise with airlines, transport vendors, and attendees to ensure smooth communication and timely updates.

Send pre-event travel packs including itineraries, maps, local weather, and travel instructions.

Monitor travel costs, ensure expenses remain within budget, and propose cost-effective travel options when needed.

Reconcile vendor invoices for flights, transport, and related travel services.

Provide contingency support for missed flights, delays, or lost luggage, including rescheduling and emergency response.

Coordinate travel insurance and maintain up-to-date emergency contacts.

Job Requirements:

Diploma or Degree in Hospitality, Tourism, Business, or a related field.

Minimum 2 years of experience in travel coordination, preferably in events or the MICE industry.

Strong communication and problem-solving skills.

Able to multitask and perform under pressure, especially during event periods.

Proficient in Microsoft Office; experience with booking tools or GDS is a plus.

Proficient in Microsoft Office; familiarity with travel booking tools is an advantage.

Knowledge of Amadeus or other Ticketing Systems will be a strong plus.
