Job description

Summary:

The Transport Supervisor is responsible for end-to-end coordination of international shipments, ensuring timely and cost-effective delivery in compliance with company policies, customer requirements, and international trade regulations. This role requires strong coordination across internal teams, external stakeholders (SC&HBP), Freight forwarder, carriers and transporter to maintain smooth export operations and meet on-time delivery (OTD) targets.

Key Responsibilities:

Order & Shipment Planning
• Run VA05 (Open Sales Order Report) daily to monitor and validate sales order status.
• Check cargo readiness (MD04) and plan shipments based on product availability and container utilization.
• Prepare and send shipment plans (including ETD & ETA) to the HBP team 4 weeks in advance.
• Place carrier bookings based on product readiness and customer RETA, in line with approved rate agreements.

• Work with any ad hoc urgent shipment (Air& Land mode) with pricing team (3PL) and share the finalize plan to HBP with customer RETA, in line with approved rate agreements.
• Frequently monitor carrier portals and port systems to identify and respond to changes in sailing schedules or vessel information.

Documentation & Booking Management
• Request booking confirmations and initiate PTI settings based on POL free days and freight rate agreements.
• Validate SKU batches against Delivery Notes (DNs) and system availability (S/4HANA), and escalate discrepancies to HBP.
• Generate pick lists within 48 hours of DN receipt and forward to inhouse DC; working closely with inhouse operation and escalate DN issues if necessary.
• Coordinate with the forwarding team for customs documentation (invoices, packing lists, BCs, and tally sheets).
• Review and verify draft customs forms (e.g., K8, K1) to ensure regulatory compliance.
• Send IDOC files from GTS to broker and complete monthly closing for export in GTS.

Execution & Monitoring
• Perform PGI (Post Goods Issue) once containers truck out, and update PGI trackers.
• Monitor and track cargo from POL to POD through carrier platforms; update customers on any shipment changes.
• Maintain and update the shipment tracker and plan daily.
• Share finalized weekly loading plans every Wednesday and revise as needed based on last-minute changes.

Performance Tracking & Reporting
• Track and analyze OTD performance; identify issues and implement corrective actions.
• Prepare and share weekly and monthly GI reports, forecasts, and review & validate KPI data for exports.
• Update freight order tables and rates in S/4 monthly..

Stakeholder Engagement & Communication
• Lead weekly order review meetings with internal stakeholders and HBP team.
• Attend weekly meetings with carriers and planners for performance reviews.
• Participate in daily DDS meetings and update daily metrics before 8:30 a.m.
• Address escalations and inquiries from internal teams, customers, and external partners.
• Provide support during audits and manage any ad-hoc or urgent requests from customers.

Minimum Education and Experience Requirements:

  • Bachelor’s Degree/Diploma in Logistics, Business Administration, or related field
  • Minimum of 1-2 years related Export/Import Logistics and Transportation.
  • Experience in export and import compliance at a multi-national consumer packaged goods company preferred.
  • Working experience with Customs, Free Trade Agreement, product classifications, brokerage, and logistics.
  • knowledge of international shipping, INCO terms, and customs compliance.
