The ideal candidate must be fluent in both English and Mandarin (written and spoken), as the role requires frequent communication with suppliers, hotels, and vendors in Mainland China.

Job Summary:

We are seeking a detail-oriented and proactive Tour Operations Executive to coordinate and manage tour packages, ensuring seamless travel experiences for our clients. The ideal candidate must be fluent in both English and Mandarin (written and spoken), as the role requires frequent communication with suppliers, hotels, and vendors in Mainland China.

Key Responsibilities:

1. Tour Planning & Coordination:
  • Research, design, and develop attractive tour itineraries in collaboration with suppliers.

  • Liaise with hotels, transport providers, guides, and activity operators (primarily in Mainland China) to secure bookings and confirm arrangements.

  • Ensure all tour components (flights, accommodations, transfers, activities) meet company standards and client expectations.

2. Supplier & Vendor Management:
  • Communicate effectively with Mandarin-speaking suppliers in Mainland China via email, phone, and messaging platforms (WeChat, WhatsApp).

  • Negotiate contracts, rates, and terms with suppliers to ensure cost efficiency.

  • Resolve any operational issues (last-minute changes, cancellations, emergencies) promptly.

3. Customer & Stakeholder Communication:
  • Assist sales teams in providing accurate tour information to clients.

  • Prepare and distribute pre-departure documents (itineraries, vouchers, travel advisories).

  • Handle customer inquiries and complaints related to tour operations professionally.

4. Compliance & Documentation:
  • Ensure all tours comply with LHDN e-invoicing requirements (NRIC, customer details, etc.).

  • Maintain accurate records of bookings, payments, and supplier agreements.

  • Assist in preparing reports on tour performance, costs, and feedback.

Requirements:
  • Mandarin Proficiency: Must be fluent in written and spoken Mandarin to negotiate and communicate with Mainland China suppliers.

  • Experience: Minimum 1–2 years in tour operations, travel agency, or hospitality.

  • Skills:

    • Strong organizational and multitasking abilities.

    • Excellent negotiation and problem-solving skills.

    • Proficient in travel booking systems (e.g., Travel Exersoft, Amadeus, or similar).

  • Personality: Proactive, adaptable, and customer-focused.
