SPECIAL OFFICER (SENIOR MANAGER / MANAGER), CEO OFFICE

Key Responsibilities

  1. Manages internal and external special projects in coordination with other departments and/or organization on behalf of the CEO.
  2. Participates in meetings, task forces and workgroups both internally and externally on behalf of the CEO.
  3. Assumes responsibility in the CEO's absence for ensuring requests for action or information which would normally receive the GMD/CEO attention are made known to responsible managers or personnel who can satisfy the request.
  4. Collaborates with and supports other partnership team members, particularly executive-level staff, as needed to enhance overall team performance and effectiveness.
  5. Collaborates closely with the SE Secretary to the CEO to manage the CEO's office operations efficiently.
  6. Assists in coordinating activities between the agency and various outside parties, including corporations, non-profit organizations, foundations, sub-grant recipients, and local and state elected officials.
  7. Establishes high-level contacts of a complex nature inside/outside of the company.
  8. Demonstrates the ability to engage effectively with individuals from diverse backgrounds, cultures, and affiliations across all levels of government, business, and non-profit organizations.

Monitoring and Reporting

  1. Monitors ongoing activities and results to prepare insightful briefings for the CEO.
  2. Conducts thorough research and prepares various materials, including policy briefings, talking points, speech drafts, presentations, and proposals, focusing on workforce development issues.
  3. Prepares detailed reports summarizing project statuses, key performance indicators (KPIs), and recommendations for improvements.
  4. Coordinates and prepares for various stakeholder meetings by scheduling, creating materials and notes, and ensuring follow-ups for staff, board, and other meetings.
  5. Develops dashboards and other visual tools to enhance reporting clarity and effectiveness.
  6. Communicates regularly with stakeholders to provide updates on projects and initiatives, ensuring alignment with organizational goals.
  7. Establishes and maintains organized files, reviewing both draft and finalized documents for accuracy and grammar, including those pertaining to sensitive or confidential issues.

Others

  1. Protects and upholds the confidentiality of information, in accordance with the provisions set forth under the Confidentiality of Information clause and the company's policies.
  2. Oversees special projects assigned by the CEO.
  3. Performs other tasks and duties as assigned by the CEO.
  4. Ensures that governance practices align with regulatory requirements and industry standards.

Anti-Corruption Commitments

  1. Assists management in evaluating the effectiveness of the anti-bribery management system by communicating the anti-corruption policy to subordinates, addressing non-compliance with relevant policies and guidelines, and actively engaging in anti-corruption management activities.

  2. Excellent verbal and written communication skills.
  3. Proficient in Microsoft Office Suite and project management tools.
  4. High level of discretion and integrity in handling sensitive information.

  6. Strong interpersonal skills and the ability to collaborate with diverse teams.
  7. Adaptable and flexible in a fast-paced environment.
