Purpose of the job

The service coordinator (SC) is the central point for all customer interactions and the daily operations of the Foss service department employees and is the first point contact for all customer enquiries and calls. The SC manages the full end to end process from initial communication from customer, preparing quotes, ordering spare parts, and dispatching work to service engineers. Duties also include planning routine maintenance visits for the instruments and ensuring the backlog of the work is kept to a minimum.

Responsibilities & Tasks

Dealing with all customer service inquiries.

Coordinating and planning the work of Service department employees.

Creation and handling of service quotes.

Building and maintaining relationships with the company’s customers.

Attending FOSS meetings and activities.

Supporting service employees and relevant stakeholders.

Using CRM tools or scheduling system proficiently to ensure good data quality.

Following and staying updated with FOSS processes.

Qualifications & Experience

· Certificate, Diploma or a degree in Business Administration, Logistics or related fields.

· Minimum 2 years in coordination, customer support, or technical admin.

· Strong written and communication skills in English and Malay; Mandarin is a bonus.

· Proficient with MS Office (especially Excel, Word), CRM or scheduling systems.

· Strong organizational skills with the ability to manage multiple tasks and schedules efficiently.

· Experience with customer service or client-facing positions.

· Understanding of business operations.

· Good experience in building and maintaining customer and stakeholder relationships.

· Accurate and attention to detail in all tasks.

· Capable of handling changing situation and diverse inquires.
