Job summary

Elitez Pte Ltd in Kuala Lumpur is seeking a Senior Project Executive to support the Project Manager in coordinating retail store fit-out, renovations, relocations and refurbishments from design to handover.

You will monitor schedules, liaise with landlords, consultants and contractors, prepare drawings and submissions, manage records, and ensure compliance with drawings and specs. Some travel within Malaysia and Singapore may be required.

Qualifications

• Diploma or Bachelor's Degree in Interior Design, Project Management, Construction Management or a related field.
• 3-5 years of experience in retail fit-out, interior renovation or construction project coordination.
• Experience handling retail store development or fit-out projects, preferably within shopping malls.
• Familiarity with authority submission procedures and requirements.
• Good understanding of retail fit-out and construction processes.

Responsibilities

• Assist the Project Manager in coordinating new store openings, renovations, relocations and refurbishment projects from design stage through completion and handover.
• Coordinate day-to-day project activities and follow up with relevant stakeholders on outstanding tasks and project timelines.
• Monitor project schedules, provide regular progress updates and highlight potential delays, risks or issues to the Project Manager.
• Coordinate defect rectification works and support preparations for store openings and handovers.
• Work closely with the Store Design Team on drawing preparation, revisions and design-related coordination.
• Prepare and submit drawings and supporting documents for landlord and relevant authority approvals, and follow up on submission status.
• Maintain proper records of project submissions, approvals, correspondence and other documentation.
• Coordinate with contractors, suppliers and consultants throughout the project, including following up on material deliveries and installation schedules.
• Ensure site works are carried out according to approved drawings, specifications and project requirements.
• Coordinate repair and maintenance works for existing retail stores, including following up on requests from the Operations Team and ensuring timely rectification.
• Prepare meeting minutes, action lists and other project-related reports and documentation.
• Liaise with local authorities on permits and approvals when required.
• Assist with purchase requisitions, quotations, invoice verification and other project administration matters.
• Maintain organised and up-to-date project files and records.
