A leading precision parts supplier in Malaysia is seeking a skilled Logistics Administrator to oversee shipping and customs documentation. The ideal candidate will have a degree in Supply Chain Management or relevant experience, with strong knowledge of LMW operations and customs regulations. Coordinate with freight forwarders, transporters, Customs officers, and warehouse personnel to ensure timely shipment clearance and delivery.
Prepare and process all shipping and customs documentation, including duty exemption applications and import/export declarations.
Distribute all shipping documents to the appropriate internal and external stakeholders promptly and accurately.
Track and monitor incoming and outgoing shipments to ensure adherence to committed delivery schedules and escalate issues where necessary.
Oversee all administrative tasks related to Licensed Manufacturing Warehouse (LMW) operations, ensuring full compliance with the Customs Act 1967 and related regulations.
Manage the annual LMW license renewal process.
Prepare and submit statutory Customs reports (e.g., M1, M2, M3) as well as ad-hoc reports within required timelines to Customs and other regulatory bodies.
Act as the main liaison with the Customs Department for LMW-related audits, imports, and exports matters.
Liaise with internal departments (Purchasing, Production, Sales Operations, Finance) and external parties (transport providers, suppliers, and customers) to facilitate smooth shipment processes and documentation.
Ensure all required applications for import/export clearance are complete and accurately submitted.
Provide timely updates on shipment status to internal teams and customers.
Plan and prioritize shipments based on product availability and customer requirements.
Review and validate purchase orders, delivery orders, and shipping documents to ensure accuracy and compliance before processing.
Conduct periodic reviews of freight rates and transport charges to optimize logistics costs.
Support in consolidating shipments, including packaging and crating, when necessary, to improve efficiency.
Assist superior in developing and implementing improved logistics processes and procedures.
Ensure quality and accuracy are maintained throughout all logistics operations.

Accountability:
Ensure timely clearance and delivery of shipments in accordance with company schedules and customer expectations.
Accurately prepare and distribute all required shipping and customs documentation to relevant stakeholders.
Ensure compliance with statutory requirements related to the company’s LMW activities under the Customs Act 1967 and related regulations.
Support the preparation and submission of the annual LMW license renewal and relevant Customs reports (e.g., M1, M2, M3), ensuring timely submission to the appropriate authorities.
Provide timely and accurate shipment status updates to relevant internal departments and external customers.
Assist in monitoring transportation costs and supporting periodic reviews of freight rates to help control logistics expenditure within budget parameters.
Authority:
Liaise with the Customs Department and forwarding agents for matters related to LMW compliance, import/export clearances, and audits, under the guidance of senior personnel.
Recommend suitable forwarding and courier service providers to ensure efficient and timely delivery of shipments, subject to supervisory approval.
Coordinate and track the movement of goods within the logistics system to meet planned schedules, escalating any delays to supervisors as needed.
Communicate delivery status and logistics updates to internal stakeholders and customers to support operational planning.
Job Requirements:
Degree or Diploma in Supply Chain Management, Logistics or in any relevant field; or possess 5 years of related working experience in the logistic industry; or equivalent combination of education and experience.
Good knowledge of LMW (GPB) Custom licensing, regulations, and procedures.
Familiar with all import and export procedures and terms.
Understanding of transportation limitations and regulations.
Proactive with the ability to anticipate problems and solve them.
Strong time management skills, attention to detail and accuracy in the provision of information.
Strong working knowledge of Microsoft Excel, Word, and PowerPoint.
Demonstrate a high level of flexibility in work, comply and adapt to the company, suppliers' and customers' requirements.
Strong interpersonal and communication skills in English and Bahasa Malaysia to effectively liaise with Customs, suppliers, customers and co-workers.
