Job summary

A leading engineering and construction company is seeking an HR Generalist to oversee essential HR functions including managing employee records, onboarding, and compliance with labor laws. The ideal candidate will have a Diploma or Degree in Human Resource Management, with at least 5 years of experience in a generalist HR role. Strong communication skills and proficiency in Microsoft Office and HRIS are essential for success in this position. Immediate availability is an advantage.

Job description

Essential Duties And Responsibilities

  • Prepare and manage employment contracts, offer letters, and related documents.
  • Oversee probation periods, promotions, and salary adjustments.
  • Manage attendance systems, process leave applications and ensure accurate record-keeping.
  • Support staff in using clocking systems and troubleshooting issues.
  • Verify employee claims, ensure policy compliance, and communicate special approvals. Update employees on claim processes.
  • Draft and distribute memos on policy updates, ensure HR policies are current and legally compliant, and maintain an accessible archive.
  • Maintain organized HR records, both digital and physical, ensuring compliance with legal and regulatory standards.
  • Oversee onboarding, including preparing kits and orientations, and manage offboarding, including exit interviews and final settlements.
  • Support in sourcing candidates, scheduling interviews, and ensuring smooth onboarding for new hires.
  • Liaise with agencies like SOCSO, EPF, and insurance providers to ensure compliance and manage employee claims.
  • Support department heads with job descriptions, monitor HR metrics, resolve employee conflicts, assist with employee training, and contribute to process improvements.
  • Handle employee relations matters, including disciplinary actions, grievance resolution, and workplace counseling. Foster a positive work culture and ensure consistent application of company policies.
  • Maintain strict confidentiality and interact professionally with all levels of management, staff, and business associates.
  • To undertake all other ad-hoc tasks assigned by Management from time to time.


Education And/or Work Experience Requirements

  • Possess a Diploma or Degree in the field of Human Resource Management or equivalent.
  • At least 5 years of experience as a generalist HR role.
  • Strong knowledge of HR best practices, labour laws, and regulatory requirements.
  • Strong communication skills (both written and verbal).
  • Proficient in Microsoft Office and HRIS systems.
  • Responsible, proactive, self-motivated and meticulous.
  • Able to start work immediately is added advantage.
