Job summary

A leading company in the region is seeking a Human Resources Executive for its expansion in Kuala Lumpur. Requirements (Qualification/Experience/Skills)
  • Degree / Advanced Diploma in Human Resources Management / Business Administration / Psychology / Law or related discipline.
  • Minimum 5 years of working experience in human resources and administration.
  • Well-versed in HR best practices and processes, Employment Act, Labour Law, and other related statutory requirements.
  • Experience in handling payroll for a large number of staff will be an advantage.
  • Knowledge of Labour Law and payroll software (Info-Tech System) will be an added advantage.
  • High compliance with statutory requirements.
  • Able to plan and organize, mature, and able to work independently to handle confidential information.
  • Resourceful, excellent interpersonal, and negotiation skills.
  • Good communication and good writing skills.
  • Able to perform under pressure and meet tight timelines.
  • Adaptable and flexible to meet organisational requirements.
  • Knowledgeable in: Recruitment & Selection; Payroll, Rewards, Compensation & Benefits; Performance Management; Training & Development; Industrial Relations; Employee Engagement.
  • Good analytical skills, Meticulous, Detailed, and Ability to Multi-Task.
  • A team player and able to interact with all levels of staff.
Key Responsibilities
  • To handle and carry out payroll matters pertaining to the payments i.e. salaries, overtime, allowances, statutory deductions are carried out promptly; prepare inter–branch charges of manpower costs; documentation for payroll is in order including monthly payroll payments; etc
  • Ensure all payroll processes are in compliance with statutory and internal HR rules and regulations.
  • To perform, respond to, and resolve staff issues relating to payroll in a timely manner.
  • To perform payroll cycle run - including updates of payroll correct payroll records, and payroll correction; incentives; claims; bonus and etc.
  • Maintain correct monthly payroll records for checking & statutory deductions and within the timeline.
  • Prepare resignation and payment including recovery of overpaid payment and tax clearance.
  • Perform UAT (User Acceptance Testing) on the payroll system as and when required due to statutory requirements.
  • To support with recruitment matters i.e. job posting on job portals, filtering of candidates, arrangements for interviews with the hiring manager, handling the hiring process to the issuance of letter of appointment and notification of reporting dates, etc
  • Support and manage manpower establishment to meet the needs of the Company.
  • To perform checking and compile all documentation for new employees is done in accordance with the required checklist documentation.
  • To support with the carrying out of new employee induction to new joiners and exit interviews with resigning staff.
  • To support with the execution of the annual performance appraisal exercise in line with the approved performance management system.
  • To carry out any learning and development requirements in accordance with the training request.
  • To carry out any employees’ compensation and benefits exercise and check that it is in line with approved schemes such as insurance, leave, eligible allowances, etc.
  • To provide advisory support to employees on HR policies and procedures.
  • To handle office administration matters on day-to-day operational matters such as documents filing and compiling, processing requisitions, deployment of staff for maintenance work, etc.
  • To prepare monthly HR reports for submission.
  • To schedule appointments, meetings, and/or interviews as necessary.
  • Support in handling staff grievances, disciplinary issues, and matters relating to terms and conditions of service.
  • Handling follow up HRDF claim submission for training - operations.
  • Support in preparing management reports and compiling statistics.
  • Ad-Hoc: Support in Plans, organizes, coordinates and manages special and on-going projects, which may be new initiatives or involve modification to existing projects, operational processes, the development and implementation of process improvements and other customer service-related issues within HR departments, as assigned by the Superior/Management.
External Parties & Staff Management
  • To work closely with suppliers, consultants, and service providers (Recruitment agencies, Training providers, Insurance agents, etc.) and keep updating them on the latest needs in order to perform related tasks.
  • To nurture good relationships with employees as well as external parties by providing excellent service and well-supported documents/products.
  • To maintain a good relationship with all vendors supplying goods or services and ensuring they are reliable, punctual, and provide good quality items for competitive prices.
  • To deal with relevant authorities as and when needed.
Others
  • To understand the latest requirements within human resources matters (Employment Act, etc.).
  • To support implement all policies, activities, procedures, and instructions as relevant and required by the management.
  • To meet staff and applicable statutory and regulatory requirements.
  • To support & execute plan actions from risks and opportunities assessment.
  • To undertake any and all other duties and responsibilities as so instructed by the superior.
