Senior People Operations HR Specialist
We're hiring! We are looking for a Senior HR Officer to join our HR team in KL, Malaysia. This is a hybrid role with the flexibility to work both virtually and from the office.

What the day will look like
The Senior People Operations HR Specialist will play a critical role in supporting the full spectrum of People Operations, with a strong focus on payroll processing, statutory compliance, income tax filing, and workforce administration including work visa management. The ideal candidate will demonstrate a high level of professionalism, excellent communication skills, and the ability to manage multiple HR processes in a fast-paced, multicultural environment.
Key Responsibilities:
- Payroll & Compensation Administration
- Manage end-to-end monthly payroll processing for Malaysia, ensuring accuracy, confidentiality, and compliance with statutory requirements.
- Coordinate with finance and third-party payroll vendors as needed.
- Handle payroll-related and other HR queries and reconciliations promptly and professionally.
- Ensure timely contributions and filings for EPF, SOCSO, EIS, and HRDF.
- Statutory Compliance & Tax Filing
- Prepare and submit accurate statutory reports and filings in accordance with Malaysian labor laws and regulations.
- Ensure compliance with income tax requirements including monthly PCB submissions and annual tax filing (EA forms, E forms).
- Liaise with relevant authorities such as LHDN, KWSP, SOCSO, and Immigration Department.
- Workforce Administration
- Supporting the employee life cycle administration including onboarding, offboarding, transfers, and changes in employment status, which have impact to payroll processing.
- Manage work visa applications, renewals, and cancellations for expatriate employees in coordination with immigration authorities and relevant government agencies.
- Maintain accurate and up-to-date employee records in the HRIS and personnel files.
- People Operations & Employee Support
- Support HR and other teams such as Finance and compliance on payroll and tax related compliance audits.
- Respond to employee inquiries related to HR policies, benefits, payroll, and compliance in a timely and professional manner.
- Collaborate with regional teams and cross-functional departments on projects and process improvements.
Skills and experience that will lead to success
Qualifications & Experience
- Minimum of 3 to 5 years’ experience in a HR generalist or people operations role, with at least 2 years of hands-on payroll and statutory compliance experience in Malaysia.
- Experience in managing expatriate work visa processes is required.
- Experience working with external payroll vendors and demonstrated vendor management skills is highly desirable.
- Prior regional experience in managing end to end payroll processing for countries such as the Philippines, Indonesia, Vietnam, Thailand and more would be advantageous.
- Previous experience in a multinational or insurance-related environment are a strong advantage.
Skills & Competencies
- Strong knowledge of Malaysian employment laws, payroll processes, statutory deductions, and income tax filing.
- Proficient in HRIS systems and Microsoft Office applications.
- Excellent verbal and written communication skills in English.
- High attention to detail, analytical thinking, and confidentiality.
- Strong interpersonal skills and a positive, proactive attitude.
- Ability to work independently, manage multiple priorities, and meet deadlines under pressure.
