Why we're hiring:

The HR Senior Analyst plays a critical role especially in the centralized payroll function of the shared services center, handling end-to-end payroll processing for Malaysia and Singapore. This position ensures the delivery of accurate, timely, and compliant payroll services across the assigned entities while contributing to process standardization and continuous improvement within a shared services model.

What you'll be doing:

Multi-Country Payroll Processing

  • Handle full-spectrum payroll processing for Malaysia and Singapore
  • Gather, validate, and upload payroll inputs : new hires, terminations, salary adjustments, claims, allowances, bonuses, shift/overtime pay, and variable components.
  • Manage statutory contributions and deductions including CPF, SDL, IRAS (Singapore) and EPF, SOCSO, PCB (Malaysia).
  • Coordinate with external payroll vendors, HRBPs, and finance teams to ensure compliance and proper execution of payroll timelines.

Compliance & Audit

  • Stay current on employment and tax regulations for Malaysia and Singapore.
  • Ensure payroll processes adhere to local statutory laws (e.g., CPF, IRAS, MOM for Singapore; LHDN, KWSP for Malaysia).
  • Assist in internal and external audits by preparing necessary payroll reports and supporting documents.
  • Ensure accurate year-end processes, such as issuance of EA Forms (Malaysia) and IR8A/IR21 submissions (Singapore)
  • Perform monthly reconciliation between payroll reports and general ledger accounts.
  • Prepare payroll costing and journals for Finance, including cross-charges across entities.
  • Generate and analyze payroll reports: headcount, variance analysis, benefits cost, and statutory submissions.
  • Identify opportunities to streamline and standardize payroll processes across regions.
  • Contribute to system enhancements, process documentation (SOPs), and participate in payroll-related projects (e.g., automation, RPA).
  • Support the migration or onboarding of new countries/entities into the shared services payroll model

Stakeholder Management & Support

  • Serve as a payroll subject matter expert for internal stakeholders, including HR, Finance, and Regional Leadership.
  • Handle complex employee queries and resolve payroll discrepancies promptly and professionally.
  • Collaborate with HRIS, IT, and vendors for issue resolution, integrations, and data integrity

Leadership & Knowledge Sharing

  • Mentor an analyst and review their work to ensure quality and accuracy.
  • Share best practices and provide training sessions within the payroll or HR operations team.

What you'll need:

QUALIFICATIONS & EXPERIENCE :

  • Degree in Accounting, Finance, Human Resources, or equivalent.
  • Minimum 5–7 years of payroll experience, with strong exposure to shared services or multi-country payroll, particularly Singapore and Malaysia.
  • Solid understanding of Singapore statutory requirements: CPF, IRAS, SDL, and MOM regulations.
  • Skilled in Excel (pivot tables, VLOOKUP, formulas) and payroll reconciliation techniques.
  • Familiarity with SLAs, KPIs, and process documentation in a shared services environment is preferred.
