Job summary

A leading construction company in Malaysia is seeking an HR and Admin professional to manage a broad range of HR activities including recruitment, onboarding, payroll verification, and compliance with statutory requirements. The ideal candidate should possess a diploma or degree in Human Resource Management with 3–5 years of relevant experience. Strong communication, leadership skills, and knowledge of Malaysian Labour Law are essential. Proficiency in Malay, English, and Mandarin is highly valued. This position requires strong organizational abilities to oversee multi-site operations.

Job description
Responsibilities
  • Manage full spectrum of HR activities including recruitment, onboarding, payroll verification, leave management, and employee records.
  • Ensure compliance with statutory requirements (EPF, SOCSO, EIS, HRDF, LHDN, etc.).
  • Prepare and issue employment letters, confirmation letters, warning letters, and other HR-related documents.
  • Handle employee relations, grievances, and disciplinary matters professionally.
  • Support performance appraisal processes and training coordination.
  • Maintain updated HR policies, procedures, and employee handbook.
Administrative Functions
  • Oversee daily office administration including stationery, utilities, and company asset management.
  • Manage staff attendance, medical claims, and general welfare matters.
  • Liaise with government agencies, insurance providers, and service vendors when required.
  • Ensure proper filing and documentation of HR and administrative records.
  • Support management in organizing meetings, company events, and communications.
Reporting & Coordination
  • Prepare HR and admin reports for management review.
  • Coordinate with accounts, operation, and site teams to ensure smooth HR and admin flow.
  • Assist in any ad‑hoc tasks or projects assigned by management.
Requirements
  • Diploma/Degree in Human Resource Management, Business Administration, or related field.
  • Minimum 3–5 years working experience in HR and Admin functions.
  • Strong knowledge of Malaysian Labour Law and statutory requirements.
  • Proficient in MS Office and HR systems/software.
  • Good communication, leadership, and problem‑solving skills.
  • Able to handle confidential information with integrity and professionalism.
Additional Advantages
  • Experience in construction or manufacturing industry.
  • Familiar with foreign worker management (permit renewal, hostel, FOMEMA, etc.).
  • Knowledge in CIDB registration, JTK submission, or contract stamping procedures.
  • Able to handle multi‑site HR operations and coordinate with site supervisors.
  • Good command of Bahasa Malaysia, English, and Mandarin (spoken & written).
  • Hands‑on experience in HR software or attendance systems (e.g., SQL, FingerTec, HR2000).
  • Possess own transport and willing to travel between sites when required.
  • Strong organizational skills and able to work under minimal supervision.
  • Mature, proactive, and able to handle sensitive employee matters tactfully.
