Role Overview

Drive project success by providing proactive, end-to-end administrative support to our Project Delivery Lead (PDL) and Project Management Office (PMO). Strong focus on seamless coordination and clear communication, ensuring all stakeholders stay aligned and engaged. Anticipating needs and resolving scheduling challenges across multiple workstreams, contributing significantly to organizational efficiency and a smooth project delivery experience.

Responsibilities:

  • Providing comprehensive administrative and coordination support to the PMO and PDL.
  • Coordinate meetings across diverse time zones and stakeholder groups, managing calendars with precision and ensuring smooth, conflict-free scheduling—even amidst frequent travel and regional timing complexities.
  • Tracking action items and deliverables with a high degree of accuracy.
  • Stakeholder Engagement - act as liaison between regional project team, business units, and vendors. Manage stakeholder communication and support change management activities.
  • Maintain centralized project documentation at SharePoint on contract repositories and vendor activities records for audits and governance.
  • Supporting Finance and Procurement Department on project expenses handling, invoice validation, reconciliation, and payment tracking.
  • Prepare management reports and project dashboards.

Requirements:

  • A Bachelor's Degree in IT / Computer Science, Business Administration, or equivalent.
  • More than 3 years of experience in software project management or an administrative support role, ideally within the Information & Communication Technology industry.
  • Demonstrated ability to manage complex scheduling across global time zones and stakeholder groups, ensuring seamless coordination and conflict-free meetings using scheduling tools.
  • PMP or PRINCE2 certification is a strong advantage.
  • Experience with ADO (Azure DevOps) is a strong advantage.
  • Experience in Project Management/PMO in large, complex projects.
  • High proficiency in Microsoft Office Suite (Excel, PowerPoint, Project) is required, with advanced expertise in Outlook for calendar and schedule management considered essential.
  • Understanding of Enterprise Resource Planning (ERP), deliverables, and compliance needs/implications.
  • Ability to engage stakeholders, manage vendor relationships, and drive collaboration.
  • Ability to prepare executive reports, dashboards, and track deliverables.
  • Capable of working independently, handling ambiguity, and managing multiple tasks with exceptional organizational skills.
  • Strong analytical and problem-solving skills, with the ability to interpret complex contractual and financial information.
  • Excellent written and verbal communication skills, with the ability to liaise effectively with stakeholders at all levels.
  • Ideally, experience with multi-site/region/global projects.

Working Time

Monday - Thursday 8:15am to 5pm
Friday 8:15am to 4pm
