Job summary

A leading Malaysian automotive company is seeking an Operations Executive to assist with various operational tasks including sales support, planning, and communication. Ideal candidates will possess a Bachelor's Degree and experience in the automotive field. Fluency in English, Bahasa Malaysia, and Mandarin is essential for effective communication with clients and stakeholders.

Qualifications

  • Bachelor's degree in Engineering, Business Studies, or related fields.
  • 2 years of experience, preferably in automotive or inventory.
  • Proficiency in English, Bahasa Malaysia, and Mandarin.

Responsibilities

  • Assist the Director with operations including sales, planning, and inventory management.
  • Prepare and manage correspondence and reports.
  • Assist with scheduling appointments and meeting arrangements.

Assisting the Director with operations such as sales, planning, pricing, inventory management, supply assurance, and quality management.

Provide administrative and secretarial support to the direct report.

Assist in translating documentation, preparing forms, or other relevant documents.

2. Correspondence and Communication

Prepare and manage correspondence, reports, and documents.

Assist with the preparation of presentations.

Respond to emails, chats/messages, phone calls, or other correspondence as directed.

3. Executive Time Management Support

Assist with scheduling appointments for executives, management, senior management, and top management, including meetings, conferences, teleconferences, and travels.

4. Information Support

Prepare meeting agendas, attendance lists, take minutes, circulate meeting papers, and assist with slide compilation.

Provide or compile reports on assigned work as required.

Identify and follow up on matters arising from tasks as needed.

5. Public Relations

Liaise with staff, stakeholders, and external organizations when required.

Arrange external visits when needed.

Support overseas partner cooperation and communication.

JOB REQUIREMENTS

Possess a Bachelor's Degree in Engineering, Business Studies, or related fields.

Minimum 2 years of working experience, preferably in the automotive or inventory field.

Strong interpersonal communication skills and good analytical skills.

Able to speak, read, and write in English, Bahasa Malaysia, and Mandarin. We seek candidates proficient in Mandarin to communicate effectively with Mandarin-speaking clients.

Able to work in a fast-paced environment.

Willing to work at Glenmarie, Shah Alam.
