Job summary:

Manage facility operations, maintenance, vendor coordination, compliance, and audits to ensure optimal efficiency, safety, and regulatory adherence.

Job Responsibilities:

  • Developing processing plans, optimizing resource allocation, and creating maintenance schedules for cold & freezer system, HVAC system, cleaning, pest control, reach trucks, reach-truck & power pallet jack, dock levelers, roller shutters, electrical system, etc.
  • Carrying out preventive and planned maintenance programs; and undertake routine inspections of the premises, fixtures, fitting and grounds inclusive to raise relevant works order
  • Collecting and analyzing data such as cost, utilities usage, space utilization, etc.
  • Diagnosing and resolving issues with facility systems and equipment.
  • Communicating effectively with stakeholders, including management, staff, and contractors.
  • Attend to alarms during and after working hours to verify the root-cause as well as to rectify minor problems such as trouble-shoot temp controller and replacement of controller in case of emergency.
  • Ensure the completion of the periodically alarm testing for environment monitoring system as well as equipment alarm system.
  • Ensure the completion of the periodically testing for Generator set.
  • Overseeing the implementation of facility expansions, layouts, and various systems.
  • Assist and engage operations to carry out necessary recovery procedures and works with vendors to rectify the situation.
  • Ensure calibration for relevant equipment is carried out on schedule and within the validity period.
  • Prepare the necessary report related to validation/ qualification, quarterly drills, audit, etc.
  • Keeping records of maintenance activities, inspections, and compliance documentation inclusive collate, review and sign checklist e.g. pest control stations’ inspection checklist, recording checklist, maintenance checklist, etc.
  • React in a timely manner to any feedback on facility issues and reporting to the head of facility.
  • Closely monitor and manage service levels of external vendors, such as cleaning vendor, HVAC vendor, cold & freezer system vendor, pest control vendor, MHE vendor, etc.
  • Conduct regular meetings with vendor to improve services and close gaps.
  • Understand and implement mapping and validation of warehouses, Cold-rooms, and freezers.
  • To update drawings using drawing application or any compatible application such as PowerPoint, Excel, etc.
  • Assist in audit preparations and attend to audits on facility management related matters.
  • To maintain proper recording, documentation and filing practices in place
  • To review all findings related to quality as well as HSE by the management, internal and external auditors, and authorities; and work out relevant action plans to close the gaps.
  • Understand relevant standard’s requirements such as ISO 9001, GDP, GDPMD, etc.
  • Liaise with Landlord on facility related issues.

Job Requirements:

  • Bachelor’s Degree or Diploma in Facility Management, Mechanical/Electrical Engineering, Building Services, or a related field.
  • Minimum 5 years of experience in facility management, maintenance, or building operations, preferably in warehousing, logistics, or manufacturing industries.
  • Strong understanding of HVAC systems, cold & freezer systems, pest control, dock levelers, roller shutters, and electrical systems.
  • Familiarity with AutoCAD, PowerPoint, Excel, or similar applications for facility mapping and documentation updates.
