Job Responsibilities
1. Recruitment Coordination:
- Prepare and submit job requisitions to HR Shared Services.
- Liaise with site managers to identify manpower needs and track recruitment status.
- Support onboarding arrangements for new staff.
2. Employee Data Management:
- Maintain and update records for new hires, resignations, transfers, contract renewals, and confirmation.
- Track probation periods, licenses (e.g. BOVEAP), and performance review timelines.
3. Training & Development Support:
- Coordinate training requisitions and attendance with HR shared services.
- Monitor CPD hours and training requirements for technical and certified staff.
4. HR Reporting:
- Prepare monthly HR reports for management, including staff movement, training records, and recruitment updates.
5. Liaison with HR Shared Services:
- Act as the main contact point for HR report management, including staff movement, training records, and recruitment updates.
Administrative Support
1. Office & Facility Management:
- Ensure smooth running of HQ administrative operations, including supplies and vendor services, and facility maintenance.
- Maintain office asset inventory and coordinate distribution across property sites.
2. Travel & Accommodation Arrangements:
- Coordinate travel and accommodation for staff attending site visits, meetings, or training programs.
- Check and verify HR and admin documents before submitting for HOD or interdepartmental approval.
- Ensure accurate documentation for audit and compliance purposes.
4.Support to Head of Division / HOC:
- Assist with meeting scheduling, logistics, and preparation of claims or correspondence on behalf of the HOD or Head of Company.
Job Requirements
- Diploma/Degree in Human Resource Management, Business Administration, or equivalent.
- 3–5 years of working experience in HR and Admin, preferably in a property management or multi site operation environment.
- Strong understanding of HR practices, Malaysian labor laws, and statutory requirements (EPF, SOCSO, EIS, HRDF).
- Proficient in Microsoft Office (Excel, Word, Outlook).
- Excellent coordination, multitasking, and communication skills.
- Able to adapt quickly and work effectively in a fast‑paced and dynamic environment.
- High level of professionalism, discretion, and attention to detail.
