The Senior Executive, Compliance is responsible for ensuring that all business units under the Retail Operations Department, including showrooms, the e-Commerce department, and the Corporate Sales department, comply with internal policies, regulatory requirements, and best practices. This role supports the development and monitoring of compliance frameworks to mitigate risks and uphold business integrity. It also serves as a key liaison between the Retail Operations Department and the Internal Audit Department to strengthen governance and operational excellence across all units.
Job Description
- Conduct routine and ad-hoc compliance audits across all showrooms and Retail Operation’s business units, including Corporate Sales and e-Commerce, to ensure adherence to internal policies, standard operating procedures (SOPs), and regulatory requirements.
- Cover audit areas beyond the scope of internal auditors, including but not limited to staff grooming and presentation standards, customer feedback and complaints handling, staff attendance, punctuality, and abnormal sick leave patterns
- Safe room and key holder SOP compliance
- Travel to various locations nationwide to carry out audits and follow-up visits.
- Attend audit meetings with Area Managers and Compliance Officers to represent the Retail Operations (RO) department when audits are conducted by internal auditors.
- Identify compliance gaps and follow up with respective Branch Managers and Head of Department to ensure timely and effective implementation of corrective actions.
- Ensure Branch Managers and Head of Department are accountable for developing action plans and executing improvements based on audit findings.
- Report directly to the Head of Operations and escalate serious or recurring non-compliance issues with recommended actions for resolution.
- Develop, review, and update compliance checklists, SOPs, and operational guidelines in alignment with changing regulations and internal business needs.
- Support the implementation of new or revised compliance frameworks and ensure these are communicated effectively to all showrooms and Retail Operations' business units.
- Provide training, coaching, and guidance to retail staff on compliance-related matters, including new or updated policies and SOPs.
- Promote awareness of compliance expectations and reinforce a culture of accountability at the showroom level.
- Prepare detailed reports on compliance audits, risk assessments, follow-up findings, and status updates for senior management review.
- Maintain thorough and accurate documentation of audit outcomes, feedback, and actions taken by Branch Managers and Department Head.
- Coordinate and liaise with internal departments such as Legal, Risk, and GHR on compliance matters involving retail operations.
- Support any projects, initiatives, or assignments aimed at strengthening governance, risk management, and compliance culture as assigned by the Head of Operations.
Job Requirement
- A bachelor’s degree in Business, Finance, Law, or a related field.
- 3 to 5 years of experience in compliance, audit, or retail operations.
- Good understanding of compliance standards, SOPs, and regulatory requirements in retail, e-commerce, and corporate sales environments.
- Strong written and verbal communication skills, with the ability to train and engage staff at various levels.
- High attention to detail and strong analytical skills to identify gaps and propose practical solutions.
- Self-motivated and able to work independently while managing multiple priorities.
- Willing to travel frequently to showrooms and retail business units.
- Proficient in Microsoft Office, especially Excel, Word, and PowerPoint.
