The Senior Document Controller has developed specialized Document Control-specific skills through job-related training and considerable on-the-job experience. They can provide support to their team with a limited degree of supervision. They can act as an informal resource for colleagues with less experience. The Senior Document Controller is skilled in various processes, procedures, and systems.
Essential Qualifications and Education:
5 years minimum Document Management experience with a major contractor or consultant
Bachelor’s Degree in any stream or equivalent diploma (preferably in Computer Science)
Good knowledge of Electronic Database Management System (EDMS) software, MS Office, and Adobe
Computer literate in Microsoft programs: Word, Access, PowerPoint, Excel, Project
Hands-on experience in EPC project execution in the Oil and Gas contracting industry
Ability to work as a team member as well as act as a team leader (if the position is a Lead position)
Successful communication skills, business acumen, and decision-making capability
Certified iDocs Trainer (preferable)
Key Tasks and Responsibilities:
Assist the Lead Document Management lead in completing the day-to-day project activities
Gain experience in the following work area: iDocs
Develop basic technical skills to complete assigned work
Become familiar with specific aspects of the contract and project team requirements pertaining to information management and project delivery (standards, procedures, and EDMS)
Read and implement project-specific information management procedures and work instruction
Create work instructions where needed
Implement project-specific information management procedures and work instruction
Communicate document management solutions and concepts to the project team
Responsible for identifying information management issues or areas of improvement
Continue developing skills to complete repetitive tasks efficiently
Participate in project documentation audits
Ensure all project team members have the appropriate training for EDMS as required
Prioritize and organize own/team’s work to meet agreed-upon deadlines
Accurately track, log, and distribute releases of both internal and external documentation, including metadata
Archive project records
Index and distribute project documents in an accurate and timely manner
Reports to: Project: Lead Document Management/PEM Functional: Department Manager Liaise with: Lead Document Management, Project Engineering, Project Management, and Department Manager Supervises: Assigned Document Controllers
