About the Job

We are looking for a detail-oriented and execution-driven Senior Executive, People Operations, based in Malaysia

This role plays a key part in supporting payroll and HR operations for Malaysia and Singapore, ensuring accuracy, compliance, and a great employee experience. You'll also help manage local office administration and collaborate on regional initiatives.

The Senior Executive, People Operations will be responsible for:

Payroll & Compliance (Malaysia & Singapore)
  • Manage end-to-end payroll processes for Malaysia and Singapore, ensuring timely and accurate execution in collaboration with Multiplier and internal stakeholders.
  • Oversee monthly payroll processing, including base salary, variable components, statutory deductions, and off-cycle payments, with a strong focus on accuracy and confidentialiMaintain and update employee records in line with local requirements, ensuring alignment between HR systems and payroll data.
  • Administer employee benefits such as insurance, allowances, and statutory contributions in accordance with company policy and country-specific laws.
  • Manage work pass applications and renewals for Singapore, including Employment Pass (EP), S Pass, and Dependant Passes, in coordination with relevant authorities and internal teams.
  • Ensure full compliance with statutory regulations, including but not limited to:
    • Malaysia: EPF, SOCSO, EIS, and PCB
    • Singapore: CPF, IRAS, and MOM requirements
  • Process final payments for resigning employees, including pro-rated salary, leave encashment, and tax clearance where applicable.
  • Respond to employee queries related to payslips, statutory contributions, offboarding payments, and other payroll-related matters in a timely and professional manner.
  • Coordinate closely with Multiplier on payroll calendars, monthly employee data updates, and accurate documentation submission to ensure smooth payroll execution.

Employee Lifecycle Support
  • Prepare and maintain accurate employee records, offers, contracts, and related documentation in Workday, ensuring data integrity and timely updates across the employee lifecycle.
  • Coordinate end-to-end onboarding and offboarding processes, including IT access setup, workspace allocation, equipment distribution/return, and orientation coordination to ensure a smooth employee experience.
  • Assist in the administration of probation reviews, contract amendments, internal transfers, and other employment changes, including preparation of relevant letters and system updates.
  • Ensure all statutory and compliance-related filings are submitted accurately and on time, including documentation for audits or regulatory requirements.
  • Provide operational support during performance review cycles, including data consolidation, system input, and coordination with managers and HRBPs for compensation planning and employee movement tracking.

Office & Vendor Administration (Malaysia ad-hoc)
  • Manage day-to-day office needs: pantry, stationery, courier, and vendor coordination
  • Liaise with building management for facilities, security, and maintenance
  • Support internal events and office activities in collaboration with regional teams

Benefits & Insurance
  • Assist employees with enrollment, changes, and claims related to company-sponsored insurance plans, wellness programs, and other employee benefits, ensuring clear communication and timely support.
  • Maintain accurate records of benefits eligibility, entitlements, and utilization in accordance with local regulations and internal policies for both Malaysia and Singapore.
  • Liaise with insurance brokers, third-party administrators, and wellness vendors to resolve claims-related queries, track service issues, and enhance employee experience.
  • Monitor benefit plan usage, flag anomalies, and support periodic reviews to ensure competitiveness, compliance, and operational efficiency.
  • Provide guidance to employees on benefit offerings and assist with documentation required for claims or benefit updates.

HR Systems & Data Management
  • Maintain accurate and up-to-date employee data in Workday, ensuring consistency across platforms by aligning changes with external systems such as Multiplier.
  • Drive improvements in data accuracy and process efficiency by reducing reliance on manual trackers and promoting automation and standardized workflows.
  • Support internal and external audits, compliance checks, and HR reporting requirements by ensuring documentation and records are properly organized, complete, and accessible.
  • Collaborate with relevant stakeholders to identify system gaps and support continuous process improvement initiatives across the employee lifecycle.
  • Ensure confidentiality and data protection protocols are strictly followed in handling employee information.

What We're Looking For
  • 3-5 years of experience in HR operations or payroll, ideally in a regional or cross-border role
  • Solid knowledge of MY & SG payroll, statutory filings, and EOR platforms (Multiplier experience is a plus)
  • Strong proficiency in Excel, including use of formulas, pivot tables, and functions for reconciliation and reporting
  • Hands-on experience with HRIS systems (Workday preferred) and spreadsheet tools
  • Strong attention to detail, organization skills, and ability to multitask
  • Excellent communication skills and comfort working across teams and time zones
  • A proactive, service-oriented mindset with a focus on continuous improvement
