Position Purpose:

The Senior O2C Specialist is responsible for managing and overseeing the end-to-end O2C processes, ensuring operational excellence, compliance, and the timely delivery of accurate results. This role provides leadership within the O2C team by guiding junior specialists, resolving complex issues, and driving continuous process improvements. The Senior O2C Specialist plays a critical role in maintaining strong customer relationships and supporting organizational financial goals.

What we want you to do...

  • Cash Application for Collection:

Perform and manage cash application activities, ensuring accurate validation, matching, and application of receipts to invoices.

Resolve escalated discrepancies and reconciliation issues efficiently.

Track and monitor receipts to ensure they comply with payment agreement terms.

Customer receipting, including handling of local tax requirements

  • Ecommerce Focus on Account receivable:

Perform eCommerce platform reconciliation to ensure accurate matching between sales and payments received.

Clear receipting for payments collected from eCommerce marketplaces

Liaise with the eCommerce operations team to investigate and resolve any payment variances or discrepancies. Follow up on unallocated or short payments and ensure timely resolution.

Monitor and analyse AR aging to identify overdue balances and potential collection issues. Prepare and update AR aging reports regularly for internal review and management reporting.

  • Sales and Outlet Reconciliation:

Perform daily sales and outlet reconciliations, ensuring accuracy across system and customer records.

Conduct reconciliation for outlets to ensure accuracy.

Analyse variances and collaborate with local and cross-functional teams to resolve discrepancies.

  • Billing and Invoicing:

Ensure timely billing to meet payment cycle deadlines.

Issue invoices as required. Review and oversee the issuance of invoices, addressing escalated billing queries and concerns.

  • Process Improvements and Compliance:

Identify and implement process enhancements to improve the efficiency and accuracy of O2C operations.

Ensure compliance with company policies, financial regulations, and audit requirements.

Participate in special projects, process optimization initiatives, and system upgrades.

  • Month end closing and Ad Hoc Support:

Provide comprehensive support during month-end close processes, ensuring all deliverables are completed on time.

Mentor and guide junior O2C specialists, fostering a collaborative and supportive team environment.

Collaborate with cross-functional teams such as Finance, AR, and Operations to resolve issues and drive improvements.

Education:

  • A degree in Finance, Accounting, Business Studies, or a related field is required.

Work Experience:

  • 4-5 years of experience in Accounts Receivable or other accounting functions.
  • Experience working with SAP or other major ERP systems is preferred.
  • Previous experience in AR functions within a shared services environment is an advantage.

Technical Knowledge:

  • Proficiency in English, both written and verbal.
  • Strong knowledge of Microsoft Office tools, particularly Excel.

Additional Skills:

  • Experience in the beauty/retailing industry is preferred.
  • Ability to work under pressure and meet tight deadlines.
  • Demonstrates initiative, attention to detail, strong interpersonal communication skills, and a results-oriented approach.
  • Team player with strong problem-solving skills and performance-driven mindset.
