Secretary to Chief Executive Officer (CEO)

The Secretary to CEO provides comprehensive support to the Chief Executive Officer, requiring strong initiative, critical thinking, and fluency in spoken and written English. This role involves international travel and flexibility beyond standard office hours, making it ideal for individuals who excel in dynamic, high-paced environments.

Job Responsibilities:

Communication and Correspondence

  1. Draft and manage the CEO emails and letters, ensuring clear and professional communication.
  2. Proofread business correspondence, proposals, and reports for accuracy and coherence.
  3. Collaborate with cross-functional teams to ensure smooth communication and timely project execution.
  4. Act as the primary liaison between the CEO and internal/external stakeholders.
  5. Draft, review, and edit emails, memos, and official documents.
  6. Organize and maintain files, records, and documentation for easy retrieval.

Project and Task Management

  1. Follow up on commitments and deliverables, ensuring tasks are well-coordinated, deadlines are met, and progress updates are communicated.
  2. Efficiently manage meeting notes and follow-ups to drive action item completion.

Travel and Event Coordination

  1. Accompany the CEO on local and international travels, handling all logistical arrangements.
  2. Organize and coordinate company events.

Executive Support

  1. Manage the CEO's calendar, scheduling meetings, appointments, and travel, while resolving scheduling conflicts.
  2. Assist in identifying and initiating contact with potential business partners.
  3. Occasionally represent the CEO at functions, demonstrating professionalism and alignment with company values.
  4. Prepare reports, presentations, and correspondence on behalf of the CEO.
  5. Handle sensitive information with discretion and professionalism.

Meeting & Event Management

  1. Plan, organize, and coordinate executive meetings, conferences, and events.
  2. Take meeting minutes, follow up on action items, and ensure deadlines are met.
  3. Manage event logistics, including venue booking, catering, and travel arrangements.

Office Administration

  1. Oversee office supplies, facilities, and general administrative tasks.
  2. Support budget tracking and expense reporting.
  3. Assist with special projects and initiatives as assigned.
