Provides dedicated administrative and secretarial support to the Head of Division of the Enforcement Intelligence & Technology Division (EITD). Responsible for managing daily office operations, preparing and organizing official documents, coordinating schedules, and supporting communication across departments. Maintains confidentiality and ensures smooth administrative functioning to support the division's strategic and operational activities.
Job Responsibilities:
Manage and maintain the Division Head's calendar, including scheduling of internal and external meetings, briefings, and appointments.
Prepare, format, and organize official correspondence, reports, memos, and internal documentation in a timely and professional manner.
Handle incoming and outgoing communications (emails, letters, calls) and direct them appropriately within the division.
Provide logistical and administrative support for division-level meetings, including agenda preparation, minute-taking, and distribution of documents.
Maintain an organized and up-to-date filing system (digital and physical) for confidential records, circulars, and reference materials.
Assist in coordinating leave applications, travel arrangements, and claims submission for the Division Head and designated staff.
Track and follow up on document submissions, task deadlines, and reporting timelines to support operational efficiency.
Liaise with other divisions, departments, and external agencies to support administrative coordination and information flow.
Monitor and replenish office supplies, manage simple procurement requests, and ensure readiness of meeting rooms and equipment.
Uphold confidentiality and secure handling of classified materials and sensitive enforcement-relateddocuments.
Qualification and Work Experience
Minimum of a Diploma in Computer Science or Information Technology, Administration, Office Management, or a relevant field from a reputable university.
Minimum 1 year of working experience in regulatory and/or information or cybersecurity domain.
Must be able to work independently with minimum supervision and possess good writing and communications skills in English and Bahasa Melayu.
Self-initiating programmes to improve departmental operational efficiency.
Candidate must be willing to work in MCMC HQ, Cyberjaya.
