Job Summary

A Secretary to the Senior Director, Eastern Region is responsible for providing comprehensive support to the Senior Director in managing the Eastern Region Office. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions with a high level of professionalism and credibility.

Job Responsibilities:

  1. Complete a broad variety of administrative tasks that facilitate the Senior Director's ability to effectively lead the organization, including providing sophisticated calendar management for the Senior Director of Eastern Region.
  2. Act as a liaison and provide support to the Senior Director of Eastern Region.
  3. Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Senior Director, including those of a highly confidential or critical nature.
  4. Work closely with Eastern Regional & State Offices under the respective Senior Director of Eastern Region, including meeting regularly with their operations and technology coordinator and providing information and documents as needed.
  5. Handle and prioritize all outgoing or incoming correspondence for the respective Senior Director of Eastern Region (e-mail, letters, packages, etc.).
  6. Manage all travel and accommodation arrangements for the Senior Director of Eastern Region, including itinerary and agenda arrangements, scheduling and booking transportation, arranging lodging and meeting accommodations, travelling claims, and related documents for payment processing.
  7. Responsible for handling and maintaining all confidential documents, paper, and electronic records within the respective Senior Director's purview, ensuring control, security, accessibility, and timeliness.
  8. Prepare any correspondence, memos, or letters assigned by the Senior Director of the Eastern Region.

Qualification and Work Experience

  • Diploma in Secretarial, Business Studies/Administration/Management, or related qualifications from a reputable university with a minimum CGPA of 3.2.
  • A minimum of 1 year’s relevant working experience in the related field is preferred.
  • Proven experience as a secretary or in a similar administrative role.
  • Fresh graduates are encouraged to apply.
  • Excellent English writing skills.
  • In-depth knowledge of office management and basic accounting procedures, as well as relevant technical vocabulary.
  • Familiarity with basic research methods and reporting techniques.
  • Excellent organizational and time-management skills.
  • Outstanding communication and negotiation abilities.
  • Pleasant personality.
