A reputable mall management company based in Kuala Lumpur is looking for an experienced Executive Secretary to provide comprehensive administrative support to the CEO. The ideal candidate will have at least 5 years of experience in a similar role, excellent organizational and communication skills, and the ability to manage confidential information effectively. Proficiency in English, Chinese, and Bahasa Malaysia is required to facilitate communication with various stakeholders. Overview

To provide administrative support and responsibility for the daily administration of secretarial duties to the Chief Executive Officer and routine administration for the Leasing Department.

To coordinate and update CEO daily schedule, arrange meetings, appointments, and engagements.

To ensure that all correspondences and enquiries to the CEO are processed and actioned wherever necessary and that all records are filed systematically for speedy retrieval, and administered for an effective follow-up system.

To handle, arrange, and coordinate CEO personal errands.

To update and maintain leaves records for CEO and Leasing department staff.

To manage stationary inventory and control usage.

To handle claims and petty cash float.

Manage all reasonable ad-hoc tasks as assigned by CEO.

Job Requirements

Minimum a Diploma in Secretarial/Mass Communication/Business Studies/Administration/Management or its equivalent.

At least 5 years of relevant work experience in similar capacity.

Demonstrable working experience as an Executive Secretary/Personal Assistant in a highly pressurized work environment that require tact, professional judgment, and discretion in handling internal and external customers.

Preference shall be given to candidate who has a successful working experience with the senior management team.

Highly organized, able to manage confidential matters, good computer skills.

Excellent written and verbal communication abilities in English, Chinese, and Bahasa Malaysia to effectively communicate with Chinese and Bahasa Malaysia-speaking clients.

Strong work ethic, responsible, honest, trustworthy, and pro-active.
