Job description

We are an established medium-sized company providing corporate secretarial and advisory services, seeking a dynamic and suitably qualified candidate to join our team.

What we're looking for

  • ICSA qualification with a minimum of 1-2 years' experience in company secretarial practice
  • Familiarity with the Companies Act 1965 and other statutory requirements
  • Excellent written and verbal communication skills in English and Bahasa Malaysia
  • Strong organizational and time management skills with the ability to prioritize effectively
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint)
  • Proven experience in providing proactive and discreet support to senior executives
  • A keen eye for detail, with the ability to work independently and as part of a team, meeting tight schedules with minimal supervision

What you'll be doing

  • Assist the Company Secretary in all secretarial duties, ensuring compliance with statutory regulations and guidelines
  • Draft and prepare resolutions and statutory documents (e.g., allotment of shares, appointment of directors, dividend payments)
  • Maintain statutory records, including registers of directors, secretaries, managers, shareholders, and minutes
  • Ensure timely and accurate lodgment of statutory documents with relevant authorities in accordance with the Companies Act and applicable laws
  • Liaise with the Companies Commission of Malaysia, lawyers, auditors, and stamping offices to ensure compliance
  • Maintain safe custody of the company seal and legal/pre-signed documents for clients
