An established industry player is seeking a dynamic Sales Support professional to enhance client relationships and coordinate events. This role involves assisting the sales team with inquiries, proposals, and contracts while ensuring seamless logistics for various events. Sales Support:
Assist the sales team in managing inquiries, proposals, and contracts for group bookings, restaurant and room bookings, events, and corporate clients.
Respond promptly to client inquiries via phone, email, and in-person meetings, providing accurate information about hotel facilities, services, and rates.
Prepare and distribute sales contracts, ensuring all terms and conditions are met and documented appropriately.
Event Coordination:
Coordinate logistics for meetings, conferences, weddings, and other events hosted at the hotel.
Liaise with clients and various departments (e.g., catering, housekeeping, AV) to ensure all event requirements are met and executed smoothly.
Conduct site inspections and assist in planning event layouts, timelines, and guest accommodations.
Client Relationship Management:
Build and maintain strong relationships with corporate clients, event planners, travel agents, and other key stakeholders.
Cultivate and nurture strong relationships with existing and prospective clients, establishing the hotel as their preferred choice.
Ensure prompt and personalized responses to client inquiries and requests, fostering trust and loyalty.
Follow up with clients to gather feedback, address concerns, and ensure satisfaction before, during, and after their stay or event.
Administrative Support:
Maintain accurate records of sales activities, contracts, and client communications using CRM software or databases.
Prepare reports, presentations, and proposals for sales meetings and client presentations.
Assist in preparing sales forecasts and budgets as directed by the Sales Manager or Revenue Manager.
Collaboration and Communication:
Work closely with the sales team, revenue management, and other departments to ensure seamless coordination of sales activities.
Communicate effectively with internal departments to relay client requests, special requirements, and operational details.
Sales and Marketing Assistance:
Support marketing efforts by distributing promotional materials, updating online listings, and assisting with digital marketing campaigns.
Monitor competitor activities and market trends to identify opportunities for sales growth and improvement.
Work hand-in-hand with the marketing team to develop and execute strategic marketing campaigns aimed at driving sales and enhancing brand visibility.
Harness digital marketing channels, social media platforms, and email marketing to reach and engage potential customers effectively.
Continuously assess the effectiveness of marketing endeavours and pivot strategies as needed based on performance metrics.
Guest Comments and Feedback:
Monitor and manage guest reviews and feedback across various platforms, promptly addressing any issues or concerns raised.
Identify areas for improvement based on guest comments and collaborate with relevant departments to implement corrective measures.
Meeting and Exceeding KPIs:
Develop and implement targeted sales strategies tailored to meet or exceed Key Performance Index (KPI) benchmarks set by the company.
Regularly monitor sales performance metrics and adjust strategies as necessary to optimize results.
Foster a culture of accountability and excellence within the sales team, celebrating successes and addressing areas for improvement proactively.
Compliance and Documentation:
Ensure compliance with all relevant laws, regulations, and industry standards related to agreements.
Maintain accurate and up-to-date records of all sales activities, including Sales Reports, claims, sales cost, and invoices.
Ensure compliance with all laws, regulations and standards set forth by the Hotel Management.
Cross-Departmental Support:
Provide assistance to other hotel departments as needed, including but not limited to Food and Beverage, Housekeeping, and Front Office.
Collaborate with department heads to coordinate sales arrangements for the hotel.
Attend and make success hotel organized activities or events.
Take on additional roles and working extra hours that the hotel management may assign not limited to the key responsibilities.
