About the role

We are seeking a motivated and organised Sales Coordinator to join our dynamic team at Aimflex Systems Sdn Bhd in Senai, Johor. In this full-time role, you will be responsible for providing administrative and sales support to ensure the smooth running of our sales operations.

What you'll be doing
  • Generate and manage job orders within the ERP system based on the Bill of Materials (BOM) provided by requesters.
  • Prepare and process internal purchase requisitions in the ERP system in alignment with the submitted BOMs.
  • Collaborate closely with engineering and sales teams to maintain an accurate and up-to-date master flat BOM list.
  • Ensure the master ERP process flow documentation is consistently updated to reflect all current job requests and workflow changes.
  • Coordinate spare parts sales from customers.
  • Follow up on spare parts status with purchasing and other team members.
  • Follow up on spare parts delivery to customers.
  • Load orders to the purchasing team to purchase spare parts as per customer PO.
  • Update customers/requestors on the delivery status via email or phone.
  • Maintain & update master spare part lists for all testers/machines.
  • Involve in daily production activities & travel to customer sites for delivery.
  • Create and update sales orders in the system.
  • Convert jobs and provide job numbers to the sales team.
  • Prepare sales reports and other relevant documentation periodically.
  • Prepare commercial invoices & packing lists.
  • Follow up on chop and sign from customers.
  • Prepare documents for HS code submission & travel to customs for verification/confirmation.
  • Assist other sales team members as necessary.
  • Perform ad-hoc duties as assigned by superiors or management.
What we're looking for
  • Minimum 1 year of experience in a sales or administrative support role, preferably in the Administration & Office Support industry.
  • Strong organizational and time management skills with the ability to multitask and prioritize effectively.
  • Excellent communication and interpersonal skills, with a customer-centric approach.
  • Proficiency in Microsoft Office suite, particularly Excel, Word, and PowerPoint.
  • A team player capable of working collaboratively across departments.
