Job description

Job Title: Sales and Lab Coordinator (Material Testing Lab)

Job Responsibilities:

  1. Efficiently manage sales orders, quotations, purchase orders (POs), invoices, and delivery arrangements.
  2. Respond to customer inquiries promptly, ensuring timely follow-ups and request monitoring.
  3. Coordinate with branches and the sales team to facilitate smooth shipment processes.
  4. Assist the sales team in preparing customer purchase orders when needed.
  5. Proactively follow up on customer requests, issue quotations within 24 hours, and track deal closures.
  6. Monitor and manage consumable stock levels to ensure timely replenishment for laboratory operations.
  7. Maintain accurate and up-to-date customer records in the system.
  8. Regularly update and track the company’s integration report for effective monitoring.
  9. Coordinate with the finance team and follow up with clients regarding payment status.
  10. Oversee petty cash usage and ensure timely reimbursement requests.
  11. Organize and maintain company files, contracts, and reports for easy access and reference.
  12. Schedule meetings, record minutes, and track action items as required.
  13. Liaise with external vendors, suppliers, and third-party lab service providers for office and business needs.
  14. Actively participate in ISO 9001 & ISO 17025 documentation and internal audits to ensure compliance.
  15. Perform additional tasks assigned by superiors and management as needed.

Qualifications & Experience:

  1. Must have a Bachelor's Degree in Chemistry-related fields or Material Testing, or be familiar with Material Lab Processes.
  2. At least 2 years of experience in a relevant field.
  3. Familiarity with Chemical Testing on materials is an added advantage.
  4. Experience with shipping and procurement documentation is a plus.
  5. Strong organizational and multitasking skills with attention to detail.
  6. Excellent communication and customer service skills.
  7. Proficiency in Microsoft Office (Excel, Word, PowerPoint).
  8. Experience with accounting and sales software (Sage 300) is an advantage.
  9. Strong follow-up skills and the ability to manage tasks independently.
  10. Must be able to join immediately with a short notice period.
  11. Fresh graduates with good academic results will be considered.
