Job summary

A leading medical device firm based in Selangor is looking for a Senior Consultant to provide vital administrative and sales coordination support. The role requires a strong background in sales and administration, particularly within the medical device industry. Responsibilities include preparing contracts, maintaining customer records, coordinating logistics for events, and managing administrative support tasks to ensure smooth operations. The position is office-based, requiring full-time commitment from Monday to Friday.

Qualifications

  • Minimum of 3-5 years’ experience in sales coordination, admin, or support role.
  • Experience preferably in the medical device or related industry.

Job description

Monday - Friday (8:30AM - 5PM) 100% in office

Duties
  • Provide administrative support to the sales team by preparing quotations, contracts, and related documents.
  • Handle order processing, contract preparation, and ensure accurate updates in customer databases.
  • Maintain and update customer databases and sales records to ensure accuracy and accessibility.
  • Coordinate with logistics, accounting, and other internal teams to ensure smooth order processing and timely delivery.
  • Prepare and issue quotations in response to customer inquiries.
  • Support tender preparation, including documentation and compliance checks.
  • Monitor stock levels and assist in demand forecasting to maintain sufficient inventory in warehouses and hospitals.
  • Manage customer inquiries, schedule meetings, and follow up on client requests to ensure high‑quality service.
  • Organize sales presentations, marketing events, and conferences when required.
  • Coordinate logistics for major events, including three local congresses and six overseas congresses.
  • Support logistic arrangements for sales team and customers (i.e. flight booking, hotel booking and visa application with Holiday Tours).
  • Responsible for managing office facilities and supplies including but not limited to lighting, stationery, and pantry provisions.
  • Oversees the office cleaner, manages submissions to local authorities for office licensing, and ensures smooth operations of the shared office in Penang.
  • Help coordinate onboarding and offboarding logistics, including laptops, name cards, scrub suits, office keys, access cards in collaboration with Admin and regional IT.
