Job Purpose/Overview
- Assist CE Lead in driving sales admin excellence in day-to-day operations, processes, TPM system, Efex system, and reports/analysis to facilitate sales objectives and management decisions.
- Support TPM contract management and act as gatekeeper to manage TE.
- Support Efex system management.
- Prepare sales reports and analysis.
- Assist sales team with sales admin tasks.
- Support sales expense PO creation.
- Contribute to work process improvement.
Key Responsibilities
TPM Contract Management
- Contract creation, closure, budget release/adjustment.
- Quarterly contract accrual review with Sales & F&F.
- Maintain sellout forecast and actuals in the system.
- Ensure supporting documents from sales for contract creation; track and follow up.
- Prepare TPM accrual ageing report.
- Support system enhancements and testing.
Efex System
- Download GT IMS reports for inventory management.
- Maintain employee profiles (new joiners and resignees).
- Upload sales targets periodically.
Reports
- Sales, inventory, KPI reports, etc.
- GT IMS sales report.
- Sub-D stock balance.
- Quarterly inventory management report.
- Sales team incentive achievement computation.
- POSM inventory report.
- GT & MT closing summary for TPM.
Additional Key Responsibilities
- Sales expenses PO management, including Ariba PO creation and claim tracking.
- Input retailer POs, update retailer return reports and promotion forms.
- Support sales team with TE claim reviews and contract matching.
- Assist in sales trade bulletin preparation and other ad hoc admin work.
Process Improvement
- Support system enhancements and testing for TPM and Efex.
- Improve control and governance of TPM system and TE processes.
Other Ad hoc Work
- Perform miscellaneous sales admin tasks as needed.
Context and Scope
- This role supports the CE Lead and sales team to achieve sales objectives through operational excellence and process improvements.
- Close collaboration with the sales team is essential.
- Requires keen attention to detail, multi-tasking, and problem-solving skills.
Job Specifications/Qualifications
- College diploma or degree in business or relevant discipline.
- Experience in sales admin, operations, planning, and trade expenses management is advantageous.
