Hebe Beauty seeks a Regulatory Affairs Executive to coordinate product notifications and ensure compliance with the ASEAN Cosmetic Directive in Malaysia. The role requires strong regulatory knowledge with a focus on beauty and personal care products, alongside excellent documentation skills and the ability to communicate across departments. Coordinate and manage product notification dossiers and regulatory applications (e.g., product registration, renewal, import/export documentation) for beauty and personal care products in collaboration with appointed regulatory agencies.
Ensure all product-related elements — including ingredients, labels, claims, artwork, packaging, and promotional materials — comply with the ASEAN Cosmetic Directive and local Malaysian regulations prior to launch.
Maintain and update essential regulatory documentation, including Product Information Files (PIF), Safety Data Sheets (SDS), Certificates of Analysis (COA), GMP certificates, and other technical/legal documents to ensure compliance.
Monitor and interpret changes in regulatory requirements or legislation; communicate relevant updates to internal stakeholders and management.
Liaise with external regulatory agencies, government bodies (e.g., NPRA, MITI), and China-based stakeholders to ensure smooth importation, product compliance, and market entry.
Proactively support and troubleshoot regulatory issues related to permits, product shipments, customs clearance, and compliance risks.
Review and validate product claims to ensure all marketing, promotional, and communication materials (e.g., POSM, store magazine, website) comply with legal and regulatory standards.
Provide regulatory and legal input during product development and adaptation phases.
Conduct training for internal teams (e.g., Marketing, Product, Brand) on regulatory and compliance requirements.
Maintain organized records of all submissions, approvals, and correspondence for audit and internal reference.
Collaborate cross-functionally with Marketing, E-Commerce, Sales, and Finance teams to align regulatory timelines with business objectives.
Perform any other tasks as assigned by the superior or company.
Job Requirements
Bachelor’s degree in Law, Legal Studies, Business or a related field.
1–3 years of experience in regulatory affairs or compliance, preferably within the beauty, cosmetics, or FMCG industry in Malaysia.
Strong knowledge of Malaysian regulations and the ASEAN Cosmetic Directive.
Excellent documentation, analytical, and organizational skills.
Proficient in English and Mandarin, with the ability to liaise effectively with China-based stakeholders.
Able to work independently and collaboratively across departments.
