We are seeking a detail-oriented and service-focused Regional Payroll Specialist to support payroll operations across Malaysia, Indonesia, and Thailand.
In this role, you will be responsible for coordinating payroll inputs, managing employee lifecycle transactions, maintaining HR data accuracy, ensuring statutory compliance, and supporting payroll processing activities across multiple countries. You will work closely with HR Business Partners, payroll vendors, and regional stakeholders to ensure accurate and timely payroll execution while delivering a high standard of employee support.

Coordinate payroll activities across Malaysia, Indonesia, and Thailand, ensuring payroll inputs are complete, accurate, and submitted within established timelines.
Collect, validate, and consolidate payroll-related information, including new hires, resignations, salary adjustments, allowances, deductions, overtime, and employee claims.
Perform payroll audits and pre-payroll checks to ensure data accuracy prior to payroll processing.
Investigate and resolve payroll discrepancies, employee inquiries, and data inconsistencies promptly and professionally.
Support payroll vendors and internal stakeholders during payroll processing and month-end payroll activities.
Prepare and maintain employee lifecycle documents including employment contracts, confirmation letters, promotion letters, transfer letters, employment certificates, and other HR correspondence.
Process employee movements such as promotions, transfers, organizational changes, leave updates, and employment status changes.
Coordinate onboarding and offboarding activities, including documentation, system updates, and employee record maintenance.
Maintain accurate employee master data within HR systems and ensure data integrity across payroll and HR platforms.
Review and validate employee data changes in accordance with established controls and service level agreements.
Conduct regular data audits and support continuous improvement of HR data management processes.
Ensure payroll and employee records comply with local labor regulations, statutory requirements, and company policies.
Support the administration of statutory contributions, employee benefits, tax-related records, and regulatory reporting requirements.
Maintain proper documentation and records in accordance with audit and compliance standards.
Generate recurring and ad-hoc payroll reports, HR analytics, dashboards, and employee data reports for management and stakeholders.
Support payroll reconciliations and payroll-related reporting activities.
Identify opportunities to improve payroll, HR administration, and HRIS processes through automation, standardization, and operational excellence initiatives.
Collaborate closely with HR Business Partners, Talent Acquisition teams, payroll vendors, finance teams, and regional stakeholders to ensure seamless employee support and service delivery.
Serve as a key point of contact for payroll-related queries and employee administration matters.
Bachelor's Degree in Human Resources, Business Administration, Accounting, Finance, or a related discipline.
Minimum 3 years of experience in Payroll, HR Operations, HR Shared Services, or Employee Administration.
Experience supporting Malaysia, Indonesia, and/or Thailand payroll is highly preferred.
Good knowledge of payroll processes, statutory contributions, labor regulations, and employment administration.
Experience working with HRIS, payroll systems, and employee databases.
Strong Microsoft Excel skills and proficiency in Microsoft Office applications.
High attention to detail with strong analytical and problem-solving capabilities.
Strong organizational skills with the ability to manage multiple priorities and deadlines.
Excellent communication and stakeholder management skills.
