Job summary

NTT DATA in Malaysia is seeking a Receptionist / Switchboard Operator on a contract basis to welcome visitors, manage calls, and support daily office operations. You will maintain a tidy reception, triage inquiries, and coordinate with internal teams to ensure smooth communication.

The role demands a proactive, friendly attitude, strong communication, and the ability to multitask in a busy environment. Prior experience with multi-line switchboards and basic administrative duties is preferred;

Qualifications

• Proactive attitude with a positive approach to work.
• Excellent communication and interpersonal skills.
• Experience handling a multi-line switchboard.

Responsibilities

• Takes responsibility for the reception area, ensuring it is tidy and presentable.
• Receives and welcomes guests and informs the relevant internal stakeholders of arrival times.
• Answers, screens and redirects incoming calls.
• Routes emergency calls to the appropriate internal stakeholders.
• Performs administrative duties such as typing and updating information in relevant systems.
• Sorts mail and packages when required.
• Manages all logistics relating to public meeting rooms.
• Ensures that detailed messages are passed on to relevant persons immediately.
• Screens walk-in clients/guests.
• Maintains an electronic/manual diary for scheduled appointments.
• Handles queries related to the company’s products, services and/or people.
• Performs any other related task as required.

Your day at NTT DATA

The Receptionist / Switchboard Operator has the responsibility to deliver a friendly, efficient customer service and to create a warm and welcoming atmosphere for employees and guests.

Key responsibilities

• Takes responsibility for the reception area, ensuring the reception area is tidy and presentable.
• Receives and welcome Guests and advise the relevant internal stakeholders of the guest/visitor’s arrival timeously.
• Answers, screens and redirects incoming calls.
• Routes emergency calls, forwarding them to the appropriate internal stakeholders, ensuring that the call reaches the appropriate person.
• Performs administrative duties such as typing, capturing and updating information on the relevant systems.
• Sorts mail and packages when required.
• Manages all logistics relating to public meeting rooms.
• Ensures that detailed messages are passed on to relevant persons immediately.
• Screens walk-in clients/guests.
• Establishes and maintains an electronic/manual diary for scheduled appointments.
• Handles queries related to the company’s products, services and/or people.
• Performs any other related task as required.
