A leading logistics company in Malaysia is seeking a Quality Officer to enhance their quality management system. The successful candidate will oversee adherence to standards, conduct audits, and handle customer claims. This role requires strong analytical skills and experience with ISO 9001:2015 certification processes, making it crucial for driving quality improvements across departments.
- Monitor and ensure adherence to internal quality standards, SOPs, and relevant regulatory requirements.
- Conduct regular internal audits and inspections to evaluate compliance and identify non-conformities.
- Maintain accurate and organized records of quality assessments, non-conformances, audit findings, and corrective actions.
- Assist in reviewing and improving quality-related documentation, including policies, SOPs, and checklists.
- Support external audits, ISO 9001:2015 certification efforts, and compliance reporting.
- Assist in staff training and awareness programs to promote a quality-focused culture across departments.
- Receive and log customer claims involving damaged goods, missing items, defects, or delivery delays.
- Coordinate with internal departments (warehouse, transport, customer service, HR) to investigate root causes.
- Liaise with third parties including customers, CTOs, and airlines to gather explanations and documentation.
- Analyze claims and prepare investigation reports and claim status updates for internal and customer use.
- Prepare formal documents such as loss/damage confirmation letters, investigation outcomes, and compensation responses.
- Initiate and track CAPA to prevent recurrence of issues.
- Escalate unresolved or high-risk claims to management for further action.
- Compile and present periodic quality reports, highlighting audit results, non-conformities, claims, and CAPA status.
- Maintain dashboards and logs for quality KPIs, including claim resolution time, audit scores, and recurrence rates.
- Identify recurring problems, trends, and process gaps based on data analysis.
- Collaborate with departments to recommend and implement process improvements.
- Monitor the effectiveness of CAPA and escalate where improvements are not sustained.
- Participate in quality review meetings and provide input on risks and bottlenecks.
- Support benchmarking against SLAs and ISO standards, recommending actions for gaps.
- Assist in developing and implementing Continuous Improvement initiatives.
- Document case studies, lessons learned, and best practices for knowledge sharing and training.
- Stay updated on industry best practices, ISO changes, and regulations to support quality improvements.
- Perform other quality-related tasks as required.
