Purchasing & Operations Executive (2-year contract)

The Purchasing & Operations Executive is responsible for overseeing and managing the purchasing process for the school while ensuring smooth operational efficiency. This role involves vendor management, contract negotiation, inventory control, procurement compliance, and supporting day-to-day administrative and logistical operations to meet the academic and operational needs of the school.

Key Responsibilities:

Purchasing Duties:

  • Source, evaluate, and manage suppliers/vendors to ensure cost-effective and timely procurement of goods and services.
  • Negotiate contracts, terms, and pricing with vendors to secure the best value for the school.
  • Monitor inventory levels and maintain optimal stock to support school operations.
  • Ensure compliance with purchasing policies, budgetary constraints, and legal regulations.
  • Process purchase orders, track deliveries, and resolve any discrepancies or issues.
  • Maintain accurate records of purchases, pricing, and supplier performance.
  • Forecast purchasing needs based on annual school requirements and academic calendars.
  • Collaborate with cross-departments, including teaching staff, facilities, and administration, to understand purchasing needs and priorities.

Operations Duties:

  • Oversee daily administrative and logistical operations to ensure efficiency across departments.
  • Coordinate with school staff to identify operational needs and implement process improvements.
  • Support event planning and execution by managing supplies, vendors, and logistics.
  • Monitor and optimize operational workflows to enhance productivity and cost-efficiency.

Requirements:

  • Bachelor's degree in Business Administration, Supply Chain Management, Finance, or a related field.
  • Proven experience in procurement, purchasing, or operations, preferably in an educational or institutional setting.
  • Strong negotiation, analytical, and organizational skills.
  • Ability to multitask, prioritize, and work under deadlines.
  • Excellent communication and interpersonal skills for vendor and stakeholder management.
  • Fluency in Mandarin is an advantage, as the role requires communicating with Mandarin-speaking suppliers/vendors.
