Job description

The Purchasing Manager will be responsible for overseeing the procurement processes for Herbaline Facial Spa, a chain spa with over 50 locations across Malaysia, as well as Sojourn Spa Hotel, a boutique hotel brand with 3 locations in Malaysia. The role requires meticulous attention to detail, strong organizational skills, and the ability to develop and implement efficient procurement systems.

Key Responsibilities:

  1. Procurement Oversight:
    • Develop and implement procurement strategies to ensure cost-effective purchasing of goods and services for both Herbaline Facial Spa and Sojourn Spa Hotel.
    • Collaborate with department heads to understand their purchasing needs and requirements.
    • Identify reliable suppliers and negotiate favorable terms and pricing agreements.
    • Work closely with the warehouse to monitor inventory levels and manage the procurement process to prevent stockouts and minimize excess inventory.
    • Ensure compliance with company policies and procedures, as well as regulatory requirements, throughout the procurement process.
  2. Procurement System Development:
    • Design and implement a comprehensive procurement system that tracks purchases from requisition to delivery.
    • Collaborate with department heads to develop a standardized template for specifying their procurement needs.
    • Implement a verification process that requires department heads to sign off on purchase requests and deliveries.
    • Develop a system for labeling suppliers and tracking quantities purchased to facilitate inventory management.
    • Work closely with IT professionals to integrate the procurement system with existing software platforms and databases.
    • Establish and maintain strong relationships with suppliers to ensure timely delivery of goods and services.
    • Monitor supplier performance and address any issues or concerns promptly.
    • Conduct regular supplier evaluations and performance reviews to identify areas for improvement.
    • Continuously seek opportunities to streamline the supply chain and optimize purchasing processes.
    • Lead a team of procurement professionals, providing guidance, coaching, and support as needed.
    • Foster a collaborative and inclusive work environment that encourages teamwork and innovation.
    • Set clear goals and objectives for the procurement team and monitor progress toward achieving them.
    • Provide regular feedback and performance evaluations to team members to support their professional development.

Qualifications:

  • Bachelor's degree in business administration, supply chain management, or a related field.
  • Minimum of 3 years of experience in procurement or supply chain management, preferably in the hospitality or spa industry.
  • Strong negotiation skills and the ability to build and maintain effective relationships with suppliers.
  • Excellent analytical and problem-solving abilities, with a keen attention to detail.
  • Proven leadership experience, with the ability to motivate and inspire team members.
  • Proficiency in procurement software and systems.
  • Knowledge of relevant laws, regulations, and industry standards related to procurement and supply chain management.
