Job description

Job Title: Junior Purchasing Officer / Assistant

Job Summary:

A Junior Purchasing Officer supports the procurement team in sourcing, purchasing, and managing supplies and services for the company. This entry-level role involves assisting with supplier negotiations, order processing, and inventory control to ensure cost-effective and timely procurement while maintaining quality standards.

Key Responsibilities:

  1. Assist in sourcing and evaluating suppliers for goods and services.
  2. Request and compare quotes, negotiate basic terms, and support supplier selection.
  3. Maintain supplier databases and track performance (quality, delivery, pricing).
  4. Purchase Order Processing:
    1. Raise and process purchase orders (POs) in line with company policies.
    2. Follow up on orders to ensure on-time delivery and resolve any issues.
    3. Verify invoices against POs and delivery notes.
  5. Inventory & Cost Control:
    1. Monitor stock levels and assist in inventory management.
    2. Identify cost-saving opportunities and report discrepancies.
    3. Support budget tracking and procurement reporting.
  6. Compliance & Documentation:
    1. Ensure purchases comply with company policies and industry regulations.
    2. Maintain accurate procurement records (contracts, POs, approvals).
    3. Assist with audits and supplier due diligence.
  7. Cross-Functional Coordination:
    1. Liaise with internal teams (e.g., warehouse, finance, operations) to align procurement needs.
    2. Communicate with suppliers regarding lead times, backorders, or quality issues.

Qualifications & Skills:

  1. Education: Diploma/Degree in Procurement, Supply Chain, Business, or related field.
  2. Technical Skills:
    1. Basic understanding of procurement processes and inventory management.
    2. Proficiency in MS Office (Excel, Word) and procurement software (e.g., SAP, Oracle) is a plus.
  3. Soft Skills:
    1. Strong organizational and negotiation skills.
    2. Attention to detail and problem-solving ability.
    3. Good communication and teamwork.
  4. Experience:
    1. 0–2 years in procurement, purchasing, or supply chain (internships accepted).
    2. Knowledge of e-procurement tools is advantageous.
