Job description

Oversee inventory / order placement to ensure timely delivery while optimizing stock levels to drive profitability.

Monitor and manage stock levels, taking into account product perishability, shelf-life limitations, and demand fluctuations.

Utilize demand forecasting tools and techniques to anticipate purchasing needs and prevent stockouts or overstocking.

Implement inventory control measures to minimize waste and optimize storage.

Order Coordination & Communication:

Act as a key person to communicate with Suppliers to obtain product and service-related matters.

Collaborate with sales, warehouse, marketing and other internal teams to gather order information and ensure accuracy of forecast.

Communicate order changes and inventory updates promptly to relevant departments.

Work directly with the warehouse team to ensure proper inventory storage and order preparation aligns with delivery schedules.

Ensure the warehouse team has necessary order fulfilment documentation and resolve stock-related issues.

Import/Export Compliance:

Check all importation shipping documents (Invoice, Packing List, Insurance), ensuring accurate descriptions and HS Code classification, including Form E, Bill of Lading, etc.

Verify all customs declaration forms (K1) for correct HS code, duty, and sales tax calculations, ensuring compliance with Malaysian customs regulations.

Ensure that appropriate exemption clause and/or import duty clause is quoted in K1.

Obtain and manage all required import permits, ensuring timely customs clearance and adherence to Malaysian import regulations.

Follow up import customs clearance letter.

Engage and follow up with government offices, e.g. Custom, Department of Veterinary, Ministry of Health, JAKIM, etc.

Familiarity with Halal certifications, and other relevant food safety regulations specific to Malaysia, is highly valued.

Familiar with containers arrangement to East Malaysia & Brunei.

Proactively resolve any shipment-related issues, such as delays, documentation errors, or customs rejections.

Support internal teams with required documentation and compliance updates.

Perform any other duties assigned by the management to support the logistics operations.

Coordinate with internal departments, customers, and external authorities to ensure smooth and efficient operations.

Monitor and enhance system processes to improve operational efficiency.

Ensure all required documentation is completed accurately and submitted on time.

Follow up with agent and consignee for the incoming shipments and ensure shipment moving smoothly.
