A healthcare sector company in Malaysia seeks a Project Secretary to assist in administrative duties, document control, and client coordination. The ideal candidate should have a diploma or higher, at least one year of experience, and be proficient in Microsoft Office. Strong communication skills in Bahasa Malaysia, English, and Mandarin are essential.

Key Responsibilities
Assist the Project Director in document control, record keeping and daily administrative duties
Handle site-related reports, records, forms and document filing
Manage site attendance records and prepare Minutes of Meeting (MOM)
Liaise with clients, interior desginers, contractors and suppliers for basic coordination
Follow up on Site Instructions (SI), Variation Orders (VO) and related document flows
Assist in preparing project progress reports and completion documents (e.g., handover documents, submission files)
Maintain the organization and operations of the site office, supporting daily administrative needs
Job Requirements
Diploma or higher in Administrative Management, Construction Administration, Secretarial Studies or related fields
Minimum 1 year of relevant working experience (experience in construction or renovation projects is an advantage)
Proficient in Microsoft Office (Word, Excel, PowerPoint)
Detail-oriented, responsible and strong in organizational and time management skills
Able to adapt to site working environments
Able to work independently and under pressure
Good written and spoken skills in Bahasa Malaysia, English and Mandarin to effectively communicate with Mandarin-speaking clients.
A valid driving license and own transport are required for the role
